Reporting to the Associate Director of Program Management, the Program Manager (PM) is responsible for successful program implementation of the faculty-led study abroad programs in their assigned program portfolio (typically 10-17 programs/year). As such, the PM has a detailed understanding of the Study Abroad offerings in their assigned portfolio and makes critical decisions regarding their programs while serving as the primary point of contact for faculty directors, students, and key stakeholders, including outside vendors and partners associated with program development and implementation. The PM is involved with regular program assessment and assists with leading the first level of emergency response within the Study Abroad office. In addition to management of a portfolio of programs, the PM assists with other Study Abroad-related projects, including faculty training and development, student advising and orientation, and communication/marketing initiatives. This position has both administrative and management responsibilities and plays a key role in ensuring the success of program implementation for both students and faculty.
Responsibilities & Duties
Program Management and Implementation
The primary responsibility of the Program Manager is the overall organization, implementation, operational success, and assessment of the faculty-led study abroad programs in their assigned portfolio, as a member of the Program Management team.
The PM actively participates and shares in the team's program management responsibilities, including:
Serves as the primary point of contact for any faculty and/or staff associated with study abroad programs, responsible for ensuring timely and successful creation of itineraries, logistical arrangements, student advising, marketing and communication, application management via Terra Dotta, financial and budgetary planning and management, course registration, program evaluations, etc.
Serves as liaison for external constituencies, including international partners, third-party study abroad providers, and vendors associated with each program.
Assists with training and development for faculty and/or staff leading study abroad programs, ensuring knowledge of best practices within the field of study abroad, and helping equip them with the necessary tools to successfully manage their program.
Assists faculty leading programs to countries with travel warnings or safety concerns with adhering to and maintaining compliance with related university policies and protocol.
Works with faculty leading study abroad programs to ensure compliance with federal, state, and university policies, procedures, and requirements related to Study Abroad. Develops, with the Program Management team, protocols and procedures appropriate for study abroad programs to supplement existing university policies and procedures.
Assists with implementing procedures to identify, assess, and initiate study abroad crisis responses, while ensuring ongoing monitoring for existing and potential crisis situations that may impact study abroad programs. The Program Manager works closely with the Associate Director of Program Management (ADPM) and Director to assess the scope and scale of a crisis, ensure the relevant leadership is notified of any significant events, and to assist with developing and implementing DePaul's official response. The PM often serves as the primary contact for faculty and the international partner abroad in the time of a crisis.
Works closely with all program stakeholders to understand and interpret program goals (e.g. academic goals, intercultural competency goals, operational goals, meeting needs of specific student groups), identify metrics, and implement regular program assessment tools to measure and report overall program success. The PM analyzes data gathered from students and faculty to make recommendations to improve program implementation and better serve students.
The Program Manager, together with the Associate Director of Program Management and Director, provides consultation to colleges, academic units, and faculty in strategizing the direction of faculty-led programs and new program development, based on trends and best practices, with consideration to university goals and practices. In addition, the PM, along with the ADPM, Director, and Global Engagement, contributes to decisions regarding the viability of new study abroad programs and implementation of new program models once programs have received both curricular and operational approval.
Additional Study Abroad Responsibilities
The Program Manager will be engaged in selected additional areas of responsibility, in both leadership and support roles, related to the operation of the Study Abroad office and the services provided to its stakeholders. Areas of responsibility may include, but are not limited to: scholarships, marketing, website & database management, DEI (diversity, equity, & inclusion), program assessment, training & development, special events, student support services, and management of student peer advisors.
Education & Experience
Minimum of a B.A/B.S. or equivalent experience with knowledge of study abroad best practices and experience working with international partners.
The Program Manager will have had ideally 3-5 years of experience in the field of educational administration, with international program management responsibilities, and no fewer than 2-3 years of experience in an administrative position in university international education and/or study abroad.
Familiar with complex concepts, practices, and procedures within study abroad and familiar with latest trends and best practices throughout the field, including diversity, equity, and inclusion.
Requires the ability to rely on experience and judgment to accomplish goals.
A working knowledge of the principles of student support services in a university setting.
Other Skills & Abilities Required
Conversant in Microsoft Office products, and preferred experience with Terra Dotta and PeopleSoft.
Knowledge of study abroad program models and best practices in the field; familiar with complex concepts, practices, and procedures within study abroad.
Knowledge of diversity, equity, and inclusion best practices and considerations in higher education and specifically in study abroad.
Excellent writing, editing, communication, presentation, and interpersonal skills.
Demonstrated leadership and project/program management skills.
Must be able to set and meet deadlines and motivate others to do so.
Must be committed to collaborative teamwork style and diversity in the workplace.
Occasional duties on weekends or evenings.
