Job Summary
Department Specific Responsibilities
Assists scheduling and programming of classes and aids in the collection, creation, updating, and maintenance of course data.
Ensures accuracy and understands relationship to functions such as enrollment and grading.
Assists with determination of class and exam scheduling and the course registration process.
Helps coordinate the creation of schedule of classes among the schools, colleges, departments, and programs adhering to university policies related to class meeting times, class blocks, final exams, and enrollment limits.
Generates reports to ensure accuracy of the schedule of classes data.
Assists in the programming of classroom space including, but not limited to, assigning rooms for classes and events.
Manages front counter customer service, including answering the office e-mail and phone.
Handles questions from students, faculty, staff, administration, public via in-person, over the phone or through email while adhering to FERPA rules and regulations.
Investigates student inquiries and problems and refers inquiries to the appropriate university staff or office when necessary.
Trains, supervises and coordinates student employees on front counter operations and imaging system (scanning and uploading academic records) and record filing.
Proofreads office correspondence and documents as needed.
Maintains the office web page contents and the academic calendar.
Maintains office inventory and orders supplies as needed.
Maintains and creates documentation for Registrar office procedures.
Serves as a resource and works collaboratively to provide student records information to faculty and staff across various university functions, including areas such as Academic Units, Dean's offices, departments, advisors, coaches, recorders, accounts, admissions, and financial aid/scholarships.
Serves as a resource to provide information on course offerings, policies, transcripts, student verification of enrollment, and other related registrar services.
Assists with the intercampus transfer/returning student process in coordination with Admissions and Academic Units.
Assists with processing transcripts and with the document imaging process and record filing.
Assists with grades and end of semester processing.
Assists with student transcripts.
Oversees the creation of academic documents such as transcripts, enrollment and degree verifications.
Processes Apostille requests.
Manages the student-initiated grade appeal requests to the Academic Affairs Committee and makes student record updates accordingly, per the grade appeal policy.
Works with students on questions, collects documentation and uploads appeals, works with the Committee and Academic Affairs on final decisions and processing within the student information system.
Other duties as assigned.
General Responsibilities
Assists with administrative needs related to the daily operations, planning, and implementation of various or multiple student services initiatives. Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail.
Serves as a liaison to campus partners for cross-departmental student services initiatives, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation.
Provides assistance to student participants, stakeholders, faculty, and/or staff; acts as a resource by analyzing information, providing documentation, and preparing reports. Accurately maintains electronic records and databases.
Provides directions, support, and information to student organization representatives and other visitors to the department.
Assists with daily scheduling, training, and gathering of student feedback. May prepare and disseminate handouts, presentations, or other materials.
May assist with ordering or creation of promotional materials for student organizations or departmental needs.
May provide guidance to other Student Services Coordinators.
Qualifications
EDUCATION
Required

2 years in office environment, higher education, or related field

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
