This position performs secretarial and scheduling duties for the Minimally Invasive Surgery Division.
Primary Duties and Responsibilities
Assists physicians maintaining their outlook calendars. Schedules meetings, coordinates travel, etc. for providers. Handles travel and reimbursements for division.
Attends meetings and performs general office related activities along with the team as required.
Transcribes medical documents, such as letters, correspondence as well as types reports, agendas and other documents using PC based software.
Answers telephone, takes messages and forwards to appropriate persons.
Maintains memberships, societies, and curriculum vitae as well as licensures (in conjunction with the departmental credentialing assistant).
Assists administrative/physician staff during peak times, vacations/illnesses.
Greets visitors and routes incoming mail.
Patient Care/Scheduling Duties:
Schedules patient surgeries, including pretesting and medical clearance. Instructs patients on surgical process, including reminder calls for scheduled procedures. Coordinates the placement of cases in line with block and physician (including co-surgeon) availability.
Schedules patient appointments, answers patients inquiries, routes patient calls and maintains patient files. Manages EPIC work queues.
Communicates with physicians and clinical staff to assist with scheduling urgent and routine needs, refers patient requests as necessary.
Obtains insurance information. Assists patients with insurance questions regarding the billing process. Connects patients to financial counselors when financial assistants is needed.
Monitors patient reminder system results and contacts patients or makes scheduling changes.
Assists with FMLA paperwork processing.
Triages patient, physician and business inquiries to appropriate faculty and staff.
Ability to type and use various software packages, set up spreadsheet/report formats and working knowledge of medical terminology.
Effective verbal, written and interpersonal communication skills.
Proven decision-making skills and ability to work independently.
Working knowledge of general office equipment and computers (specifically Microsoft Office).
High school diploma or equivalent high school certification.
Two years of experience in a healthcare/medical-related office setting.
$15.76 - $22.55 / HourlyThe salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
