Marin Academy seeks a highly organized, collaborative, and detail-oriented individual to serve as Registrar and Assistant to the Deans on the Leadership Team. This full-time role is central to the school’s academic operations and administrative coordination, ensuring accurate student records, smooth academic processes, and strong operational support for the Dean of Academics, Dean of Equity and Inclusion, Dean of Faculty, and Dean of Students.
This position combines two complementary areas of responsibility:
Registrar (0.5 FTE): Stewardship of student academic records, scheduling systems, transcripts, reporting, and compliance with internal and external requirements.
Assistant to the Deans (0.5 FTE): Administrative and logistical support to the Dean of Academics, Dean of Faculty, Dean of Students, and Dean of Equity & Inclusion, supporting communication, daily coordination of substitute teachers, and special projects that advance the school’s mission and daily operations.
The ideal candidate brings strong systems thinking, discretion, flexibility, and the ability to manage multiple priorities in a dynamic, mission-driven school environment.
REGISTRAR RESPONSIBILITIES:
Manages accurate student records, including enrollment, grades, and transcripts.
Manages, creates, and revises all academic forms and calendars, and coordinates with department chairs, class deans, and advisors to distribute key information related to course scheduling.
Maintains allacademic and advisory, grading, and course sign-up roles through MA online student information system (SIS) and online learning management system (LMS)
Coordinates with the Director of Learning Services, the Dean of Students, and the Dean of Academics to create advisory groups, build academic schedules, and maintain grades.
Prepares and distributes academic reports, such as report cards, progress reports, and transcripts.
Oversee the collection and organization of data from the school’s SIS and LMS to support the school’s research initiatives.
Serves as a liaison between students, parents, teachers, and administration regarding academic matters.
Stays informed about changes in academic policies, regulations, and requirements, and ensures compliance with relevant authorities.
Maintains Physical Education credit system and data.
ASSISTANT TO THE DEANS RESPONSIBILITIES:
Provide administrative support to the Dean of Academics, Dean of Faculty, Dean of Students, and Dean of Equity & Inclusion.
Coordinate scheduling for meetings, conferences, and special initiatives for the Deans.
Draft, edit, and distribute internal communications and correspondence on behalf of the Deans.
Coordinate substitute teachers when teachers need to miss part or all of class, managing all communication with external and internal substitutes, keeping accurate and up-to-date records of faculty absences and substitutes, and partnering with the Dean of Faculty and Director of Human Resources on substitute compensation.
Coordinate logistics for meetings, events, and projects, including room reservations, meals, materials, and calendars.
Support cross-departmental initiatives and time-limited projects led by the Deans.
Serve as a professional and confidential point of contact between the Dean team and faculty, staff, students, and families.
Partner with the Dean of Faculty to coordinate logistics for faculty hiring included but not limited to posting open positions, making hotel and transportation arrangements for non-local candidates, drafting schedules for candidate visit days, and supporting candidates with reimbursement requests.
QUALIFICATIONS:
Bachelor's degree in education, business, or administrative management.
Previous experience in academic administration and/or student services.
Strong interpersonal and proactive communication skills.
Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously, with urgency and efficiency.
Proficiency in using educational technology and student information systems, with a strong preference for those with experience using Blackbaud, Google Suite, Adobe, and other platforms.
Dedication to confidentiality and upholding ethical standards in working with student records and personal information.
