Associates degree in related field. Three years relevant administrative assistant experience or experience in a related field. Four years experience preferred. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Nature & Purpose of Position/Usual Duties:
Performs advanced administrative assistant duties for the Department of Biological Sciences.
Primary Responsibilities (Staff Positions Only):
Performs advanced administrative assistant duties and routine clerical duties. Provides departmental or university information to students, departments, and staff. Schedules appointments, activities, and facilities work requests. Responsible for processing departmental travel requests/reimbursement paperwork, departmental syllabus/CV compliance, course overrides, and aiding the Assistant to the Chair with student hiring process. Assists with coordinating orientation sessions for groups of incoming pre-health professions students (medical, dental, pharmacy, physician assistant, optometry, podiatry, and other areas). Coordinates pre-health professions recruiting activities representing department at recruiting sessions and acting as a liaison among pre-health professions students and faculty. Coordinates logistics related to the Medical and Dental School Evaluation Committee (MDSEC), including the solicitation and collection of letters of reference for MDSEC students and schedules MDSEC interviews. Manages the Joint Admission Medical Program (JAMP) grant, the Dental Early Admission Program (DEAP) and the Dan Barnes Kaplan Scholarship Program. Uploads the SHSU portion of application packets to the Texas Medical & Dental Schools Application Service (TMDSAS). Serves as the primary contact for the First Year Experience's Pre-Medical Learning Community. Collects and reports SHSU applicant success rates for medical, dental, pharmacy, physician assistant, and optometry schools. Attends conferences such as the Texas Association of Advisors for the Health Professions (TAAHP) Conference to stay informed on health professions application requirements and procedures. Performs other related duties as assigned.
