Position Title:
Secretary to the Associate Dean for Graduate Education & Research
Position Function:
This position supports the Associate Dean for Graduate Education & Research and other Office of the Dean functions.
Characteristic Duties and Responsibilities:
Effectively communicate both verbally and in writing on behalf of the Associate Dean with students, faculty, administrators, and other internal and external constituents.
Maintain graduate program databases.
Effectively use the University's Banner system to complete tasks.
Maintain and manage the graduate education and research confidential filing system.
Assist the Associate Dean for Graduate Education and Research for operational tasks related to graduate and research programs, outreach, and alumni events.
Effectively complete all assigned tasks such as database requests and word processing in a timely manner.
Effectively use Proquest ETD, the University Library's theses, and dissertation database.
Review graduate theses and dissertations for formatting accuracy and work with students to ensure theses and dissertations adhere to ProQuest formatting requirements.
Effectively use other applications used in the Office of the Dean and Associate Dean for Graduate Education & Research such as Slate and Formstack.
Support other Office of the Dean activities as assigned such as staffing the reception area, providing coverage at college events, and assisting with other College initiatives.
Support Office of the Dean administrative tasks as assigned by the Associate Dean for Finance & Administration.
Perform other duties as assigned.
Organizational Structure:
The individual is employed as a staff member in the Office of the Dean, College of Pharmacy and Health Sciences and works under the supervision of the Associate Dean for Graduate Education & Research.
Qualifications
Minimum of two years of secretarial experience
High school diploma required.
Bachelor's degree preferred.
Possess excellent computer skills with experience in database management.
Proficient in Microsoft Office Suite applications (Word, Excel, PowerPoint, Teams etc.)
Demonstrate effective oral and written communication skills.
Has the ability to work well with others at various levels
In compliance with NYC's Pay Transparency Act, the annual salary for this position is $44,100. St. John's University considers factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer.
This position may be relocated to any of St. John's University's physical locations at any time.
