The Rady School of Management provides business education through its PhD program, Masters degree programs, undergraduate minors and courses, and executive business programs. The Recruitment Operations Coordinator position is part of a growing department at UCSD's nationally known graduate business school. This position coordinates operations, communications, and logistics related to Admissions and Recruitment activities. The position contributes to the success of the Rady School of Management by interacting with prospective applicants and applicants, serving as a power user of our client database to track applicant interactions, using a variety of online events/financial/reporting systems and by coordinating the logistics involved with applicant visits to campus as well as those related to admissions events on campus, offsite, and virtually.
The position manages the public-facing Rady School Admissions event calendar and uses MailChimp/Marketing Cloud to distribute event information, The position posts information about admissions and recruitment webinars, recruitment events, and other recruitment activities; coordinates Rady School Admissions events (Preview Day, UCSD Undergrad @ Rady, etc.); and coordinates and processes event logistics including travel logistics and expense reimbursements. The position keeps the Admissions team prepared for Admissions and Recruitment events by managing recruiting materials inventory (keeping materials in stock, prepping for recruitment events, etc.).
The position interacts with prospective applicants via phone, text, and email, soliciting information from prospective applicants as to their professional goals and educational background, determining what graduate degree program is most appropriate. This position then establishes contact between the prospective applicant and the Associate Director admissions advisor. The position responds to a wide variety of recruitment related questions via incoming emails and phone calls from applicants and prospective applicants. The position uses TargetX/Salesforce tool document sales calls and customer contact, and during peak times may assist with the processing admissionsapplicants and files.
Meticulous attention to detail and data entry skills are needed as this position is the primary source of data entry regarding prospective student information into the Salesforce CRM (client database). This position works closely with all members of the Graduate Admissions team to build and create reports to support recruitment efforts, event creation, and associated event communications.
This position is hybrid/remote with 2-3 days each week on campus. Rare evenings/weekends may be required due to special Recruitment and admissions events such as graduate school fairs, special outreach events, student-related events such as graduation, etc. All off-hours events are scheduled in advance.

QUALIFICATIONS
Experience working in a customer service environment, interacting with a sophisticated VIP audience/customer base with a sales/marketing approach. Experience interacting via email, via Zoom, phone, and in person with customers, providing information about a service, product, or ideally, an educational program.
Tech Savvy. Experience working with a variety of online systems, accessing multiple systems to retrieve information, experience entering data into multiple online systems including a client relational database (CRM) or complex spreadsheets, online business systems or financial/expense systems, tracking systems. Experience entering data and seeking information from online systems. Experience running queries using a database and downloading specific data to generate reports.
Experience in event planning, scheduling and implementation for small events including managing RSVP lists, arranging or confirming events logistics such as space planning, catering, room reservations, parking a
