Summary The Office of Undergraduate Admissions is seeking an organized, driven, goal-oriented, collaborative, detail-oriented, self-motivated, relational, intuitive, highly capable sales professional who can advance the Traditional Undergraduate Admissions Office’s efforts in recruiting students. The Operational Specialist reports to the Director of Admissions. Under general supervision and defined policies and procedures, this position assists in operations concerning application management, systems, and processing; financial aid; recruitment events; administrative office management; community partnership; customer-focused recruitment and sales. The right candidate demonstrates superior administrative and customer-focused skills, as well as excellent time management, a vision to see team advancement, and strong written and verbal communication skills. This position is a full-time exempt position that works year-round. This position works on campus in Nashville. This is not a remote position.
Education and Experience Requirements
A strong and vibrant Christian faith that connects to the mission, vision, and values of the university is required
Bachelor’s degree required.
Preference will be given to Trevecca alumni, but not required.
Sales experience is helpful, but not required.
Experience in higher education (especially admissions and/or financial aid) is helpful, but not required.
Travel is required for this position. As such, a valid driver’s license is required.
In order to be eligible for mileage reimbursement, must carry personal vehicle insurance that meets minimum coverage amounts as designated by the university.
Information technology (specifically in CRM databases) experience preferred, but not required.
Customer Service or hospitality experience preferred, but not required.
Key Result Areas
Deliver excellence in all interactions with prospective students and families.
Work collaboratively with all Office of Admissions personnel to deliver excellent customer service.
Effectively communicate information to new students and families.
Continue to streamline the processes within the Traditional Office of Admissions.
Ensure high quality first impressions and experiences for guests.
Assist with front desk/office administration and organization.
Provide executive and administrative assistance to the Admissions Leadership Team.
Expand the university’s success by meeting team enrollment goals.
Positively influence growth and communication in prospect pool and community partnerships.
Follow designated processes as prompted by CRM (Recruit) and team leadership.
Responsibilities:
Collaboratively work with team members and leadership to effectively communicate with undergraduate applicants through the admissions and financial aid process as needed.
Process all application materials (i.e., High School Transcripts, College/University Transcripts, Transfer Recommendations, References, Student Resumes, ACT/SAT scores, TOEFL scores, Deposits, Initial Admissions Reviews, etc.)
Obtain sufficient operating knowledge of the admissions educational software and office equipment including, but not limited to, Recruit and Colleague.
Convert and calculate the grade point averages of all partial and final high school transcripts to a 4.0 unweighted grading scale.
Act as a back-up for the Assistant Director of Enrollment Systems, Admissions Specialist and Communication Coordinator when needed by processing enrollment deposits, complete filing, importing students, document scanning, and moving students into Colleague and processing initial admissions reviews.
Assist during any special events coordinated by the Office of Admissions.
Develops and maintains relationships with high schools, community partners, educational partners and church leaders with the goal of widening the pool of prospective students.
Visits and makes presentations to groups and/or individuals at external locations, such as high schools, churches, camps and other community organizations. These may occasionally take place out of state.
Provides advice, guidance and assistance to students, parents, guidance counselors and others related to the enrollment and admissions processes. Seeks to help remove barriers to enrollment as they arise.
Ensures that every guest that visits the Admissions Office is greeted enthusiastically, provided with a top-notch, VIP customer service and leaves campus having had a positive experience with the university.
Ensures all Admissions Office daily business processes are appropriately resourced and coordinated, with special attention and responsibility for the front desk reception area.
Assists in the processing, initiation and printing of letters and mailing inserts for Admissions communication/recruitment campaigns.
Ensures we have adequate campus visit resources and assists as needed with tours, admissions and financial aid sessions, scheduling, and preparation.
Complete other duties and responsibilities as assigned by supervision.
