Working with the Director of Graduate Financial Aid, the Associate Director provides daily management and oversight of financial aid programs for all graduate students. The Associate Director hires, trains and supervises graduate financial aid counselors and support staff. The Associate Director is a resource for the entire Student Financial Services team regarding graduate financial aid programs. The Associate Director is a primary resource for graduate admissions and program directors. The Associate Director advises and counsels full- and part-time graduate students/families on the availability of financial aid. The Associate Director is responsible for compliance with all federal, state and University regulations and policies in the awarding, delivery and reconciliation of funds for graduate students. Working with the Director of Student Employment, the Associate Directors of Graduate Aid manage the Stipend Graduate Assistantship tuition waiver program. The Associate Director represents Student Financial Services at recruitment and informational events both on- and off-campus. The Associate Director serves as a member of the Student Financial Services management team and, along with the other Student Financial Services managers, acts on behalf of the Senior Director of Financial Aid to design, implement and monitor staff progress on projects which include all aspects of student financial aid delivery.
RESPONSIBILITIES INCLUDE:
Supervise Financial Aid Counselors: Direct and supervise the graduate financial aid counselors. Define areas of responsibility and monitor performance. Coordinate personnel functions as they relate to financial aid office needs. Initiate and administer personnel development. Train on all Title IV regulations and Northeastern policies.
Provide daily management and oversight of financial aid programs for all graduate day students: Manage all policies, procedures and practice of the compliant delivery and reconciliation of federal, state and Institutional funds to graduate students.
Graduate College Staff collaboration: Working with other managers/staff of the eight graduate colleges and their satellite campuses to ensure students' financial aid is processed correctly and efficiently, while also assisting with potential customer service issues brought to our attention by the colleges' staff.
Stipended Graduate Assistantship (SGA) Program: Manage the awarding and reconciliation of the SGA tuition waivers (waivers/scholarships) that have been entered into the Graduate Intake system. Monitor and create the lists of waivers and distribute them to the graduate financial aid counselors as appropriate. Each semester, reconcile the waivers for each college and distribute them accordingly. Serve as the main contact for the respective college's program managers in regards to tuition waivers. Meet with the group of SGA recipients at the beginning of each term, at the direction of the Provosts Office, to discuss the SGA tuition waiver process/schedule.
Represent Student Financial Services at Recruitment/Informational Events: Attend or assign staff to present at university-wide Open Houses, student meetings, workshops, and informational sessions to advise current and prospective students, as well as colleagues, on the financial aid process.
MINIMUM QUALIFICATIONS:
Bachelor's degree. Three to five years of progressively responsible experience in a financial aid office.
Previous supervisory experience. Proficiency in need analysis, verification procedures, and use of student information systems.
Experience with PowerFAIDS and Ellucian Banner preferred.
Demonstrated supervisory experience as well as counseling or administrative experience in a large office.
Strong written and verbal communications skills, both in one-on-one and large group situations.
Ability to organize time and work under pressure with constant deadlines.
