The College of Veterinary Medicine is recruiting a senior level Administrative Specialist to provide high level support for the day-to-day general administrative and fiscal activities, manage senior leader calendars including coordinating complex meetings, oversee the efforts of reception staff, and serve as a collaborator and resource for the college. Typical duties include processing and managing financial activities (procurement activities such as pcard transactions and travel, requisitions, managing check deposits to adhere to university policy and compliance, pcard reconciliation, and facilitate approvals) within Workday; providing administrative support including managing calendars and setting up meetings, overseeing the responsibilities of the Dean's Suite front desk staff, and working on special projects and initiatives as needed in support of the Executive Associate Dean of the College and the Assistant Dean for Finance and Administration. Position will manage 2 staff members providing performance management and training and development. The ideal candidate must have the ability to develop an understanding of university policies and college processes in support of the coordination of effective and efficient procurement and travel; professional communication skills to effectively relay information in support of a variety of stakeholders; strong attention to detail; comfortable working in a variety of applications; time management and organization to ensure timely flow of information to and from the office; to work independently manage multiple tasks and projects with competing priorities and meeting deadlines to ensure that all deadlines are met; managing office equipment and supplies. Position interacts with Fiscal service center staff, Associate and Assistant Deans and their staff, faculty, facilities personnel, IT teams, vendors, caterers, contractors and professional students. Background check required.
Previous administrative support is required including processing fiscal activities and managing travel, meetings and calendars. Position requires sitting and staring at computer screens for long periods of time.
