General Description:
Reports directly to the Director of CEWD or designee. Responsible for supporting advisors and staff in guiding participants to sustain successful participation in Union County College's Center for Economic and Workforce Development (CEWD).
Characteristics, Duties and Responsibilities:
· Support the maintenance of MS ACCESS logs used for billing, contracts, and grants that are essential to CEWD functionality.
· Performs clerical and analytical work necessary for accurate completion of transactions involving the processing of vendor invoices for timely payment. Works with payroll on input and audit functions. Provide general accounting support as needed.
· Respond to all budget-related requests.
· Collect data through MS Excel to set-up and maintain purchase orders for grants and contracts.
· Prepare and maintain necessary records and files for monitors and auditors to ensure compliance of contractual obligations.
· File and scan documents in accordance with CEWD guidelines for efficient and systematic retrieval.
· Act as liaison between CEWD program coordinators and budget staff.
· Provide data to CEWD administration concerning invoices, purchase orders, and check requests.
· Matches invoices to purchase order to verify price, quantity, and description of goods/services. Ensures invoices have proper approval for payment before entering invoices into Colleague system
· Monitor inventory of supplies and purchases.
· Confirm with CEWD administration purchase orders. Compare specifications and price quotes for office supplies and obtain approval from requisitioning department.
· Answer phones, respond to vendor inquiries.
· Assist with payroll input, time and effort, submissions, and other miscellaneous duties
· Complete all necessary CEWD paperwork.
· Other duties as assigned which help CEWD realize contractual goals.
Education Requirements:
Associates Degree in Business, Accounting, Finance, or related field required.
Experience:
Experience in Accounts Payable, helpful.
Contact experience with vendors in a computerized environment.
Must be proficient in Microsoft office.

Physical Demands and Work Environment:
· This position's duties are normally performed in a typical interior/residence work environment, based on the activity scheduled.
· Some physical effort required; however, the employee must occasionally lift and/or move up to 25 pounds.
· No or very limited exposure to physical risk.
· Some travel required.
