This position, under the supervisor of the Director and Processing Coordinators, ensures the proper awarding and processing of financial aid inclusive of federal and state aid. Â The person employed in this position will be able to comprehend, interpret, and apply federal and state regulations and university policies related to financial aid and ensure the compliance of current and new procedures and/or processes are followed and adhered. They will develop and implement new procedures and/or processes for all state grant programs to make attaining financial aid for students as efficient as possible. In addition, they will be responsible for ensuring that excellent customer service is provided to students within the financial aid office. This position will develop and implement new procedures and/or processes to make attaining financial aid for students as efficient as possible. The position will oversee the processing of files and preparation of correspondence concerning new and returning students regarding financial aid.
Typically works Monday through Friday, 8:00 a.m. to 5:00 p.m. May work beyond normal office hours to include evenings, weekends, and peak times.
Responsibilities:
Accurately performs verification of federal financial aid application data in accordance with federal regulations.
Collaborate and train with the customer service team to ensure a smooth verification process and seek ways to improve the studentâ™s experience while still adhering to federal regulations.
Assists the Director with the reconciliation of the Texas Grant
Assists the loan coordinator with the activities of daily student loan processing, to include process assurance, i.e., all required processes are accomplished in a timely manner and within compliance standards.
Responsible for the Educational Aid exemption program.Â
Attains and maintains knowledge of major programs and establishes administrative procedures to ensure the proper processing and documentation of awards in accordance with federal and state laws, regulations, and university policies.
Understand, interpret, and effectively communicate details of current federal, state and institutional policies, procedures and regulations pertaining to financial aid, student employment, and scholarships.
Reviews financial aid awards to assure accuracy, completeness, and that the awards are in compliance with institutional and governmental guidelines. Verifies student financial aid eligibility, enrollment, and academic status using Banner.
Assists the Assistant Director and Processing Coordinator in revising and/or approving the awarding of financial aid through the specific controls of program policy and guidelines. Adjusts if necessary for compliance issues.
Assists with overseeing annual updates of SOPs for the Office of Financial Aid and the development of policy and procedures related to functional responsibilities.
Develops goals and administrative procedures to improve service to students while remaining consistent with program guidelines, departmental goals, and university objectives.
Assists with monitoring the over-award resolution process. Resolves over-award problems within Banner based on students receiving additional resources (scholarships and outside resources) after processing of initial award package. Works with loan manager in returning student loans based on over-award resolution.
Assists in training staff on updates and compliance issues related to functional responsibilities of job.
Ability to counsel prospective and enrolled students on all aspects of financial aid, including financial management and budgeting practices as appropriate.
When needed, assist with on and off campus presentations and seminars for students (high school, prospective, admitted, and current). Events include but are not limited to Jaguar Day and Paying for College. Will work at resource tables as requested by a group from A&M-SA, prospective student groups and others.
Develops effective working relationships with appropriate personnel in administrative/academic support offices (e.g., Admissions, Registrarâ™s Office, Student Business Services, etc.)
Maintains punctual attendance in accordance with the defined office schedule, and/or as assigned, to facilitate excellent customer service and accurate and timely completion of all components of financial aid administration, e.g., verification, awarding, loan certification, etc.
Completes assigned goals, tasks, and projects in an accurate and timely manner.
Performs other duties as assigned.
Education and Experience:
Bachelorâ™s degree.
One (1) year of related experience.
Knowledge, Skills and Abilities:
Proficient with common software applications (e.g. Microsoft Word, Excel, PowerPoint) and spreadsheet applications.
Knowledge of financial aid counseling, verification, rules and regulations.
Knowledge of financial aid systems such as Banner
Ability to multitask and work cooperatively with others, both internal and external constituents.
