Event and Project Support Team Coordinator

Job Summary:

Reporting to the Associate Vice President and Special Advisor to the President, the Event and Project Support Team provides on-call assistance to supplement an office's/area's existing staffing when additional help is needed. The Event and Project Support Team Coordinators ("Coordinators") provide professional administrative and event support, both remotely and in-person, performing and assisting with tasks relating to special events and projects that serve the College's mission. Coordinators are assigned work on a project-based or hourly basis, depending on the requirements of the approved request for additional support. The Event and Project Support Team is in a pilot phase for the Spring 2023 semester, after which it may continue; therefore the Coordinator role should be considered a limited-term position.

Job Description:

Essential Duties Summary

• Provide excellent administrative and event support to various offices and areas at the College to help their existing staff with special projects and/or events.

• Coordinators may be required to complete tasks such as:

  • Greet community members and visitors, assist with event registration, and generally act as a public face of the College.

  • Provide event set-up and break-down support.

  • Conduct research and compile information.

  • Draft correspondence and documents.

  • Complete various administrative tasks, including reviewing and paying invoices.

  • Draft and implement workflows to complete assignments.

  • Interact as directed with vendors and contractors.

  • Perform light administrative work

• Coordinators must provide accurate and up-to-date information about their availability for scheduling purposes. Coordinators must also be available when they say that they are available.

• Other duties as assigned.

Required Qualifications Summary

• At least some college education.

• At least 2 years of relevant work experience.

• Proficiency in Google Suite (Gmail, Google Calendar, Google Drive, Google Chat) and Microsoft Office.

• Flexibility regarding work schedule and duties, including occasional nights and weekends.

Preferred Qualifications Summary

• Experience in higher education.

• Experience planning events.

• Experience supporting offices

• Experience interacting with and assisting a variety of stakeholders.

Physical Demands

• Ability to lift at least 20 pounds off the ground.

Pay Rate: $30/hr - $30/hr

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the College's good faith and reasonable estimate of the range of possible compensation at the time of posting.
