Job Overview
The Procurement Team is looking for a Contracts Manager - Information Technology (CM or Contracts Manager) with an outstanding work ethic, genuine interpersonal skills, and strong organizational skills in connection with the management of technology purchasing for Georgetown University.
The incumbent will (i) engage with various stakeholders throughout the University community and Suppliers; (ii) be responsible for pre-screening technology (IT) contracts, (iii) monitor the University Information Services (UIS) contract security review, (iv) facilitate communications across procurement teams, (v) train the Procurement Analysts (PAs) and assure quality control, and (vi) provide critical support to the Procurement Legal Advisor - IT to these ends.
Reporting directly to the Procurement Legal Advisor - IT (PLA-IT) , the Contracts Manager helps to constantly improve processes with creative engagement and strong communication skills while collaborating within and across teams in a vital University function. The CM contributes to the successful procurement of information technology that meets Georgetown University's stringent ethical, technical, and security needs.
While this position may continue to work in a remote telework and / or hybrid environment, work ethic and a professional presence' (even when remote) by the incumbent should be exemplary to gain traction with stakeholders.
The CM has additional duties that include but are not limited to:
Contract Operations
Communicate regularly with various University stakeholders - including Procurement Analysts and senior management; external suppliers; and UIS.
Team with UIS to assure that contracts are timely vetted to meet technical and security criteria.
Consult with PAs, monitor UIS approval status and push forward on goals.
Develop and maintain excel spreadsheets to prioritize and to assure orderly contract flow.
Interact daily with PAs and other internal teams to assess needs and resolve issues.
Conduct initial reviews and pre-screen supplier documents (agreements, order forms, invoices and quotes) to address ethics, privacy compliance and security.
Customize and input supplier information in procurement templates and supplier agreements.
Provide training to PAs as needed.
Be receptive to training and mastering processes across multiple platforms. Once mastery is achieved, train others, using visual aids like PowerPoint.
Attend and take notes during meetings, calls, and via email in ongoing negotiations.
Engage University stakeholders and suppliers as necessary to ensure efficient service.
Strive to identify creative solutions regarding IT purchasing; and
Other duties as assigned, from time to time, to help the department meet its objectives.

Assist the with the implementation of the training, Standard Operating Procedures (SOPs), contract functions. and processes for the University.
Lead training sessions for University staff using PowerPoint and other tools
Requirements and Qualifications
Provide exceptional customer service and professional presence to troubleshoot inquiries.
Assist the PLA-IT with the implementation of Standard Operating Procedures (SOPs), and procurement processes for the University.
Develop and maintain expertise in the use of University procurement platforms
Requirements and Qualifications
Bachelor' s degree and 3-5 years of experience required (or equivalent combination of education and work experience)
A solid understanding of IT and technology services, terms, and concepts.
Adaptability and willingness to be trained on various technology platforms.
Ability to collaborate effectively and congenially with parties across the University to facilitate the procurement of technology goods and services under deadlines.
Ability to work in a fast-paced environment and troubleshoot.
Aptitude to be proactive, positive, customer-focused, and prioritize multiple deadlines.
Ability to listen and take note of stakeholder and vendor concerns/issues.
Proficiency in Excel, PowerPoint, Adobe, Google documents, and Microsoft suite software.
Excellent communication skills including writing proficiency.
Demonstrated problem-solving abilities.
Bachelor's Degree in related field.
Preferred Qualifications
Experience in IT procurement, technology sector and higher education.
Experience with technology licensing, Service level Agreements (SLAs), and Statements of Work.
