It also seeds and inspires the next generation of scholars and leaders addressing the vestiges of enslavement and well-being of Black, Indigenous, and people of color.
Job Overview
The Executive Program Manager manages complex projects, coordinates stakeholder management, implements communications plans for the Racial Justice Institute, and manages the RJI budget. They implement the combined core initiatives of Center for Men's Health Equity, the Woodshed:
A Center for Art Thought & Culture, the Georgetown Center on Race, Law and Justice and future Centers that comprise the Racial Justice Institute's multi-disciplinary approach to its mission.
Projects include developing and managing events, and overseeing grant submission and the subsequent management of funded projects. Work includes developing timelines, assigning tasks, development and management of RJI budgets, budget, overseeing grants and contracts and implementing operating policies and procedures. Stakeholder management will include facilitating the work of internal and external advisors and partners and communicating with faculty, institute fellows and other external partners.
Communication responsibilities include maintaining an RJI website, implementing a social media plan for individual projects, newsletter publication and dissemination and grants as well as the overarching Institute. The Executive Program Manager independently takes rough documents to craft finished projects with little direction, using their ability to translate content into multiple forms and formats, while ensuring coherence and continuity throughout all documents and media, is important given the breadth of communications required.
They apply independent judgment to explain facts, policies, and practices related to additional management responsibilities, include planning, organizing, and controlling resources and procedures.
They also coordinate the Founding Directors and Executive Director's schedules for RJI meetings and manage meeting agendas.
The Executive Program Manager role is a wonderful opportunity for someone with excellent interpersonal and communication skills, strong organizational and administrative skills, and events planning and coordination experience. While the duties are mainly administrative, the position provides great exposure to the substantive work and professional expanding network of a growing racial justice scholars, activists, artists institutes across the country and the world.
Work Interactions
Reporting directly to the Executive Director of the Racial Justice Institute in the Office of the President, the Executive Program Manager holds a critical, frontline staff position requiring effective communication with the President's Office, which is the administrative home of the Racial Justice Institute, the Founding Directors of the Racial Justice Institute, researchers, scholars, academics, community leaders and students. They also provide project management support for small to medium sized special initiatives
The Executive Program Manager is responsible for the day-to day management operations of the office - a range of administrative tasks and functional areas, including event coordination and management, travel booking and logistics for staff and external partners, financial tracking, invoice processing, budget reconciliation, general research, writing, copy editing; creating presentations; organizing and updating databases; and assisting in creating surveys and questionnaires.
As well, they manage several processes, including but not limited to:
the Institute's general email inbox and calendar;
coordinating the processing of reimbursements and invoices and purchasing of supplies for the Institute's staff;
tracking expenses; and assisting with the on-boarding of research assistants.
administrative processes, memos, and other associated Institute materials;
event and meeting logistics for Initiative's year-round, domestic and international programming; and
initiative contracts management, project management and storage software
Qualifications
Bachelor's degree - preferably in business, communications, project management, or another related field
Minimum of 5 to 7 years in an office environment; progressively complex administrative and customer service experience managing the work of senior leadership or C-level executive(s) - preferably in a university environment A self-directed team player who takes initiative, anticipates needs, ensures consistent high-quality products and materials, and adapts to different situations
Proficiency and experience with Microsoft Office Suite (Word, PowerPoint, Excel) and in Google Suite (Gmail, Google Calendar, Drive, etc.), PDF, and WordPress. Experience planning and managing a wide range of events and activities
Excellent organizational skills, analytical abilities, written and oral communication skills, including grammar, spelling and composition and attention to detail
Outstanding verbal and written communication skills
Outstanding interpersonal abilities and a poised, professional demeanor and experience providing complex program and project management in a high-profile environment with courtesy, professionalism, diplomacy, efficiency, tact, sound judgment and discretion
Ability to effectively manage and prioritize multiple tasks under pressure Ability to exercise good judgment in maintaining confidential data
Experience managing budgets and expense reports
Commitment to working with a diverse student body, faculty, and staff
