Position Title: Secretary, Office of the Dean
Position Function: This individual will provide high-level office support to the College of Pharmacy and Health Sciences Office of the Dean that include, but not limited to, performing a variety of secretarial duties, office operations and projects that may include report writing, information retrieval and data collection.
Duties and Responsibilities:
Greet all visitors in a professional and timely manner.
Collect data and information from various sources and prepare summaries of findings and/or related written correspondence as requested.
Perform administrative tasks such as filing, managing supply inventory and photocopying.
Perform receptionist duties and direct guests to appropriate departments or individuals.
Screen and route calls to appropriate individuals and offices.
Reserve rooms for meetings and events.
Assist in all additional tasks in the Office of the Dean as needed by the Dean, Associate, and Assistant Deans.
Effectively communicate both verbally and in writing with students, faculty, administrators, and other internal and external constituents.
Triage requests to appropriate College and University departments.
Effectively use the University's Banner system and other University information and work systems as needed.
Maintain and manage the Office's confidential files.
Effectively complete all work requests in a timely manner.
Assist with College events such as Commencement and White Coat Ceremonies.
Work effectively with other Office of the Dean administrators and staff to complete assigned tasks when applicable and ensure efficient operation of the Office of the Dean.
Effectively use Microsoft Office products such as Outlook, Word, Excel, PowerPoint, to complete assigned tasks (i.e. mail merge and slide production).
Other duties as assigned.
Organizational Structure:The individual is a staff member in the Office of the Dean, College of Pharmacy and Health Sciences and works under the supervision of the Dean.
Qualifications:
Minimum of three years of administrative assistant office experience, experience in higher education is preferred.
High school diploma Bachelor's degree preferred.
Possess excellent computer skills with working knowledge of Microsoft Office applications, proficient use of general office equipment.
Attention to detail, accuracy and timely completion of assignments are essential.
Ability to organize and prioritize tasks.
Ability to learn and use new technology as needed.
Flexible and adaptable in various situations.
Demonstrate effective oral and written communication skills.
Has effective interpersonal skills and ability to work effectively on a team.
Ability to prioritize multiple tasks simultaneously, problem-solve and maintain confidentiality.
In compliance with NYC's Pay Transparency Act, the annual salary for this position is $38,300. This position may be relocated to any of St. John's University's physical locations at any time.
