Position: Registrar and School Administrative Coordinator
Supervisor: Academic Director and Assistant Head of School

Technically savvy and able to own and operate tech systems such as Salesforce, Orah and G-Suite. Training will be provided.
Specific Registrar Functions:
Administrate phases of the academic process including but not limited to:
Collaborating with the Admissions Team regarding new and returning student placement.
Communicating regularly with home schools, students, parents, and KMS faculty.
Coordinating Winter Term academic process.
Organizing and managing parent-teacher-coach conferences.
Organizing and maintaining current and permanent records of all students, including progress reports, report cards, and transcripts.
Using automated processes to email academic records and reports.
Collaborating with the Director of Academics for Academic Class Scheduling.
Communicating with the Buildings and Grounds crew to make sure all classrooms are set up for the appropriate class capacity
Maintaining and Updating all Salesforce and G-Suite records.
Collaborating with the Advisory Coordinator to create and implement Personal Learning Plans for all Full Term Students
Advising new students on KMS course selections during the admissions process.
Facilitate the establishment of an atmosphere conducive to teaching and learning by assisting with substitute teaching, study halls, and occasional winter-term classes as needed.
School Administrative Coordinator Responsibilities – including but not limited to:
Welcoming all school constituents into the building and maintaining presence in the front office throughout the entire school day.
Monitoring and responding to front desk telephone lines, voicemails, Info@ email and WIX online inquiries.
Daily participation in athletic shuttling needs during the winter term.
Maintaining all office supplies for faculty.
Being available to students to approve Orah passes and point if contact for parents needing to make student arrangements (travel, appointment absence etc.)
Communicating student absences with teachers, coaches and kitchen staff
Facilitating transportation of students to appointments, airports etc.
Sorting mail and packages into appropriate locations upon delivery
Scheduling Faculty on Duty and Dorm Supervisor shifts in collaboration with Assistant Head of School and Dorm Supervisors
Attending Dorm supervisor and administrative meetings as needed
Assisting with major event planning and execution with admissions, advancement and class level department leads.
Assisting with the planning and execution of recurring community events including Orientations, Prom, Graduation, and KMS Awards Ceremony etc.
Collaborating with summer experience Coordinator to fill administrative and building needs for camps and summer activities.
Managing vehicle scheduling needs in collaboration with the Assistant Head of School.
Preparing the building for Winter Term and BOOST (furniture, assigning spaces etc.)
Serving as academic advisor to students and assisting advisory coordinator and Wellness coordinator with planning/scheduling needs
Coordinates with dorm staff and consults with faculty to communicate dining services needs to kitchen staff (i.e. number of students and faculty at meals times)
General faculty responsibilities, including but not limited to:
Participating in and attending all community events and select home competitions, when possible.
Performing Faculty on Duty (FOD) shifts
Attending regularly scheduled faculty meetings
Any other duties deemed necessary by supervisors and the Head of School for the successful completion of school program.
Requirements
Bachelor’s degree required
Proficiency in Google G-Suite required; Salesforce and Orah a plus
Occasional prolonged and irregular hours and off-site training
locations
Must be able to travel to all campus locations and to appropriate training and meetings

Compensation and Benefits
This is a full-time, year round, exempt position beginning on or after January 2, 2023. Benefits include a retirement plan after one year of employment, cost sharing for health insurance, HSA, discounted season pass to Killington/Pico, generous vacation and holiday PTO. Use of the facility gym, trampoline and dining hall for all meals. Tuition remission for qualifying dependent children may be available upon completing one year of employment. Employees are provided additional compensation for completed Faculty on Duty shifts. Campus provided housing could be a component of the benefit package depending upon availability and additional duties. Compensation is commensurate with experience. Position could be paired with dorm supervising or other duties as skills sets and school needs dictate for additional compensation.
