Executive Assistant, Office of the Dean, College of Pharmacy & Health Sciences
Responsible for providing administrative support to the Dean. This individual will strategically evaluate, develop and implement processes and procedures to ensure professional, efficient and effective Office of the Dean operations.
Primary responsibilities:
Effectively and efficiently manages day to day office operations.
Greet all visitors in a professional and timely manner.
Answer all incoming calls to the Dean and respond or direct them accordingly.
Prepare and distribute internal and external communications, correspondence and/or presentations from the Office of the Dean or Dean.
Monitor, screen, respond to, and distribute incoming correspondence, including walk-in and email communications.
Maintain, update and organize all relevant files, including confidential files, for the Dean.
Coordinate the Dean's calendar which includes, but not limited, to scheduling all meetings, travel and conferences.
Arrange conference rooms, order refreshments/food, coordinate audio visual/conference calling requests and other tasks that will ensure professional conduct of meetings.
Takes minutes for meetings as needed.
Work collaboratively with other Office of the Dean staff to maintain a clean, organized, professional and welcoming environment in the Office of the Dean.
Work effectively with other Office of the Dean staff and administrators to complete assigned tasks, and when applicable, and to ensure efficient operation of the Office of the Dean.
Professionally and effectively interact with other University units to meet the needs of the College and Dean.
Track out of office calendar for direct reports and program directors for the Dean.
Complete Concur travel approval and expense reports on behalf of the Dean.
Process all check requests and confirm payments to appropriate vendors.
Ensure all documents that require the Dean's signature are completed in a timely manner.
Work effectively with other School administrative assistant staff to complete assigned tasks, when applicable, and to ensure efficient operation of the Office of the Dean.
Manages communication with the Dean's Advisory Council and external stakeholders.
Work on special projects within the Office of the Dean.
Provide additional administrative support to any member of the Office of the Dean as needed.
Perform other duties as assigned.
In compliance with NYC's Pay Transparency Act, the annual salary range for this position is $62,000 - $66,500. St. John's University considers factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer.
This position may be relocated to any of St. John's University's physical locations at any time
