The Senior Assistant Director of Admissions is a regular, full-time, benefits-eligible salaried position responsible for recruiting and evaluating candidates for undergraduate admission as well as carrying out other assigned projects as needed. The Senior Assistant Director undertakes substantial programmatic responsibilities with little to no oversight. This position reports to a Senior Associate Director or Associate Director of Undergraduate Admissions.
Essential Job Duties
Responsible for complete and total oversight of a substantial admissions program or function. The admissions program and/or event could include, but is not limited to, the Visitor Experience program, the reading training process, or the recruitment process.
Serve as a mentor to junior Admissions staff.
Develop and maintain fluency with Technolutions Slate, the Admissions CRM.
Collaborate with an office on campus and serve as the chief liaison and representative of the Undergraduate Admissions Office.
Counsel students and conduct presentations about Caltech undergraduate life, admissions, and financial aid policies/procedures to audiences on campus, in high schools, and at large off-campus venues.
Plan and execute an effective recruitment travel plan that makes appropriate use of staff time, budget, and data to target the most promising candidates to Caltech.
Travel as much as 4-6 weeks during the fall months, including but not limited to out of state travel
Build and maintain relationships with high school counselors and alumni in an assigned fixed region, as well as with faculty, staff and other relevant stakeholders.
Thoroughly read, critically evaluate, and recommend appropriate admission decisions on highly competitive applications.
Carry out other admissions-related projects as assigned by the Director or an Associate Director
Bachelor's degree required as well as familiarity with the activities of an undergraduate admissions office
3-5 years of professional experience in undergraduate admissions, high school counselor, or related field.
Deploy professional skills in admissions, enrollment, selections processes, goal setting, in collaboration with colleagues to best promote the Institute's strategic interests.
Represent the Institute with a professional and enthusiastic demeanor.
Manage expectations and needs of a customer base with high anxiety and emotional volatility.
Demonstrated effectiveness and clarity of verbal and written communication with excellent interpersonal communication and leadership skills to supervise, facilitate, motivate, mentor and inspire a diverse group of employees, volunteers and stakeholders from a wide variety of backgrounds. Must handle all activities and highly confidential information with patience, discretion, tact, and a keen eye for detail.
Must respond to e-mails and phone calls in a timely manner.
Able to operate computers with basic Microsoft Office software (such as Word, Excel, Outlook) and associated professional software (such as Slate, Internet research, menu-driven databases, social media networking).
Demonstrated understanding of the use of technology in assessing and improving division systems and processes to achieve annual goals and maintain confidentiality.
Able to handle multiple tasks, meet deadlines, and work both independently and as a collaborative member of the office in support of the Institute's strategic vision and the division's annual goals with a high standard of integrity and ethics.
Must have exceptional organizational, time management and judgement skills to complete work with accuracy and attention to detail and to handle extensive reading.
Experience planning events.
Experience working with diverse and underrepresented student populations.
