Job Summary/Basic Function: Reporting to the Director of Financial Aid, the position is a key partner in all critical business processes, with a focus on the implementation of and administration of systems in service of the objectives for Strategic Enrollment Management (SEM)
The main objective of this position is to run the operations, systems, and reporting that are integral to the financial aid office staff and the College to maintain compliance.
This position provides guidance and direction on systems, processing operations, and financial aid regulations to the Offices of Student Accounts, Registrar, Admissions, and other critical stakeholders at the university (i.e., Finance & Budget and Institutional Research)
The position works in collaboration with TCIT in strategic planning, improvements, and implementations of all OFA systems and processes
The Associate Director is responsible for training staff on Banner basics, the processing workflow, upgrade changes, customer relations management software, messaging systems, document management systems, payment systems, and additional software
Oversees the workflows and reports for the payment and reconciliation of student accounts and is responsible for managing the input, collection and compilation of financial aid data and assists the Director and other staff with system development projects, user security, reporting, system integrations, testing, documentation and training, data integrity and access
Serves as project lead for aid-related recruitment and retention projects and acts with the authority of the Director in their absence to ensure that office operations are maintained without disruption.
Trains staff on new procedures and policies related to the changes in systems and operations
Minimum Qualifications:
Graduation from an accredited college with a Bachelor’s degree and three to five years of professional experience working with data, systems and/or technical services in an institution of higher education is required.
Master’s degree and professional data management experience in a college/university Financial Aid office or enrollment services area with expertise in the Financial Aid data module in Ellucian Banner.
While data-driven, the ideal candidate will have a proactive approach to technology to support end-users which includes staff, as well as students
Candidate must have experience with preparing reports, online file management and in streamlining and automating processes.
Excellent customer service skills and oral and written communication skills are essential.
Oversees the test plans, testing, and upgrades of the Financial Aid and Student Accounts ERP modules, including reviewing resolution reports from vendors, upgrade
Quality management surrounding project initiatives, system reviews, disbursement, and reconciliation processes annually according to university enrollment goals
The position will oversee and manage the Assistant Director of Financial Aid Systems and the Loan Counselor. Other duties as assigned.
Preferred Qualifications:
Master’s degree and professional data management experience in a college/university Financial Aid office or enrollment services area with expertise in the Financial Aid data module in Ellucian Banner.
