Job Summary
Caltech Student Wellness Services supports graduate and undergraduate students who are scientifically minded, culturally diverse, and highly engaged in a rigorous academic environment. Our tight-knit campus allows for the development of strong relationships with campus partners and for the provision of high-quality support to meet the unique needs of each student. Counseling Services operates under the collaborative care model of Student Wellness Services, which also includes primary care, occupational therapy, and alcohol and drug education.
The referral coordinator will support the Student Wellness Services staff, primarily the Counseling Services staff, by helping student patients establish connections with local healthcare providers after being referred by their counselor. Representative tasks include contacting healthcare providers to determine their availability; to ensure that local healthcare providers accept a student patient's insurance; and to follow up with student patients to ensure that they have connected with their referrals.
This is an hourly position that will likely require significant remote work, particularly in the initial months after hire.
Student Wellness staff members work collaboratively with colleagues to support the mission of the Institute. Additionally, the referral coordinator will demonstrate an appreciation and understanding of the culture and priorities of a science and technology-focused research institution.
Essential Job Duties
- Coordinating referral appointments with local healthcare providers.
- Communicating with insurance companies to verify insurance coverage.
- Communicating with care providers to share essential and confidential patient information.
- General administrative or clerical tasks such as answering phone calls and emails, maintaining patient records, and verifying insurance information before appointments.
- Coordinating communication between local healthcare providers and Student Wellness Services staff.
- Documenting the process of connecting student patients with healthcare providers.
- Assist student patients by answering questions and resolving issues that may arise during the referral process.
- Other duties as assigned.
Basic Qualifications
- Basic computer literacy, including word processing, e-mail, spreadsheets, and the Zoom video platform.
- Excellent communication skills.
- The ability to ensure that patient information is complete and up to date.
- The ability to maintain confidentiality of patient records is essential.
