DESCRIPTION
Under general supervision, provide high level fiscal and administrative support for the Department of Bioengineering. Oversees Reimbursement activities, General Accounting, Travel, Disbursements, Procurement and Contracts, and various other administrative responsibilities.
Serves as liaison between the Bioengineering Department and various departments and central units such as Travel, Concur, Central Cashiers, Gifts Processing, and other central campus units. Additionally, the Fiscal Assistant will assist the Fiscal Analysts with pre and post-award fiscal administration as needed.
This position supports a fast-paced/dynamic work environment, and daily responsibilities shift as needed. The incumbent must be able to interact professionally and confidently and work within a team environment.
QUALIFICATIONS
Familiarity with fiscal management practices, including ledger review, balance sheets, accounts receivable, and fiscal closing.
Proficiency with Microsoft Office (Word, PowerPoint, Outlook, Excel).
Experience working in an academic setting and variety of administrative tasks in fast paced environment.
Experience preparing and completing travel requests, reimbursements, purchase orders, and budgetary accounting tasks. Knowledge of federal, state, and private contract and grant regulations and procedures.
Knowledge of online entry of allocation journals, pay-auths.
Ability to communicate clearly, effectively and professionally in person, in writing, via phone and email with ability to take clear and concise messages in a timely fashion. Excellent interpersonal skills with strong, demonstrated ability to communicate orally and in writing. Possess tact, poise, diplomacy, and hospitality with a diverse population of staff, faculty, industry.
Skill to independently research, interpret and apply policies and procedures for problem resolution and interpret funding agency regulations governing allowable costs to contracts and grants.
Experience processing international travel and honoraria in a higher education setting. Experience with reimbursement policies and procedures. Knowledge of mathematics and statistics reporting procedures sufficient to develop and present accurate information and prepare budget/expenditure reports. Ability to propose, track, and forecast budgets.
Ability to demonstrate creativity and initiative in identifying, responding to, and resolving problems in a professional manner.
Ability to identify and communicate potential risks and issues that will have a substantial impact on the Express Card.
Experience processing online travel and purchasing for a high-volume fast-paced office.
Proficiency in customer service best practices to include assessing, understanding, exceeding customer needs and making relevant referrals to other departments, programs, and services.
Ability to independently advise and work with staff in other campus units including Disbursements, Extramural Funds, Business Contracts, General Accounting, Principal Investigators, Contracts and Grants, Payroll, Human Resources, and agency contacts.
Knowledge and understanding of and ability to interpret PPM guidelines, UC practices and funding agency regulations governing allowable costs to contracts and grants.
Experience working in an academic research environment.
Experience purchasing items using an online system and/or using purchasing cards based on guidelines. Experience monitoring expenses and verifying delivery of items ordered. Experience interacting with vendors, following formal purchasing processes. Experience researching billing issues, investigating purchasing discrepancies, and taking an active role in resolving vendor issues. Diplomacy, tact, and accuracy in communications.
Experience arranging business travel and processing travel reimbursements.
