Carnegie Mellon University's department of Electrical & Computer Engineering is searching for a Senior Academic Advisor. You will contribute to the department by providing crucial support by providing quality academic program advising, counseling, and general student life assistance to Ph.D. students in ECE. This position is important to the development and support of ECE's academic programs and students.
Core responsibilities will include:
Monitors student progress throughout the program to ensure that students are hitting all of their academic achievements and are on track to meet graduation requirements. Certifies students to graduate each semester;
Liaises with the Office of International Education (OIE) and ECE's International Scholar Coordinator to address international student issues and immigration requests for current students;
The primary point of contact for the HUB/Registrar's Office - management of student record, course schedules, and other processes/documentation as they relate to registration and student/academic records;
Participation in various department, college, and university-level meetings as appropriate: ECE's Graduate Studies Committee (GSC), ECE Ph.D. Graduate Admissions Committee (GAC), CIT Graduate Coordinators, university-level Graduate Education Meetings, Registrar's Office meetings, and the Diversity Equity and Inclusion committee - to stay informed, and share information and standard methodologies;
Tracks the physical movement of Ph.D. students who are able to move between locations each semester to ensure that billing and program codes are accurate and that they have an advisor at their respective location;
Provides academic program information to students regarding course requirements, department and university policy, as well as various opportunities (fellowships, seminars, etc.) and resources throughout campus;
Maintenance and updates to ECE Academic and Student resource related web pages and other departmental resources;
Coordinate and co-facilitate monthly meetings each semester for Graduate Studies Committee (GSC) - includes development of agenda, archival of meeting materials (including meeting minutes), and student academic petitions;
Responsible for various reports (statistical and otherwise) for internal and external use: enrollment, admissions process, USN&WR, NSF, Annual reports, etc;
Facilitates the selection process for several major fellowship opportunities each year. Curate applications for review and prepares department-selected nomination packages to external fellowships;
Participates in department and CIT events - recruitment/outreach, Open House, Orientation, and student information sessions (for new and continuing students), PhD qualifying exam information session;
Participates in, and assists with, the management of PhD Open House, degree certification, as well as planning for (and participation in) ECE's Commencement ceremony;
Facilitate Ph.D. qualifying exam logistics for 60+ students annually, including exam scheduling and technology support;
Lead all aspects of semester-based faculty area meetings to discuss PhD student progress, including technology support, room reservations, and other accommodations;
Assists ECE Business Office with student internship tracking; facilitates work authorization requirements with OIE;
Collaborates with Computing Services to update and launch PhD qualifying exam scheduling and Graduate Progress Review portals;
Serve as social host for social events hosted by ECE students.
You should demonstrate:
Excellent communication skills, including oral, written, and nonverbal communication skills; can communicate successfully in a variety of settings, including one-on-one and in public speaking settings.
Excellent organization and planning skills, with a strong focus on attention to detail, task completion, and meeting deadlines. Ability to target tasks or initiatives that require special attention or have limited time or resources.
Proven experience being able to work under little to no direct supervision.
Strong interpersonal skills, including listening skills, the ability to develop rapport, collaborate, particularly with and respect to diverse groups, and to problem-solve both independently and in groups.
Sensitivity to the needs of a diverse and non-traditional student population.
Adaptability to regularly work with active students, prospective students, staff, faculty, and senior administration.

Qualifications:
Master's degree required; Equivalent experience and/or education may be considered in lieu of degree
At least one year of Academic Advising and/or Academic Counseling Experience
Proficient with Google Suite, Microsoft Office (PowerPoint, Excel, Microsoft Word); experience with student information systems
