The Division of Cancer Genetics and Prevention seeks an Executive Support Specialist to provide administrative support to the Chief of the Division as well as assist with general office management tasks for the division. ??

This role will report directly to the Director and Administrative Director of the Division of Cancer Genetics and Prevention. This individual will work alongside a team of admins, nurses, clinicians, genetic counselors and various other teams within the division, including research staff. The primary functions of this role will include calendar management, managing and processing expenses, and travel coordination. This role will also involve some event planning and managing meetings, conferences, and seminars within the division. This role may also support 1-2 junior faculty within the division. The successful candidate will be a seasoned and poised professional with high regard for confidentiality and the ability to function and problem solve independently. He/she should also be able to work in a fast-paced environment.

• Serves as primary administrative contact and support for the Division Chief and her group
• Provides some administrative support for junior faculty in the division
• Coordinates complex travel arrangements, including processing expense reports and tracking reimbursements
• Plans and coordinates both internal and external meetings, including in-depth calendar management and meeting logistics
• Coordinates seminars, programs and committee meetings, including scheduling and material preparation
• Creates, formats and maintains Word documents, Excel spreadsheets, and PowerPoint presentations, including CVs and correspondence that may be highly confidential or sensitive in nature
• Financial responsibilities include ordering supplies, reconciling purchasing card receipts and processing vendor payments/invoices
• Interfacing with faculty, scientists, patients and collaborators across both research and clinical teams
• Provides telephone support, including triaging phone calls and responding appropriately to inquiries
• Facilitates communication and coordination across the group, thereby promoting a positive and collaborative work environment
• Some patient interaction on the phone

• Bachelor's degree or equivalent experience or training required. College level course work highly desirable.
• 2-3 years experience in an office setting required, preferably supporting a senior executive or professional group.
• Experience working in an academic medical/scientific research setting or comparable technology-oriented business environment is highly preferred.
• Excellent English language reading, writing, and speaking skills required.
• Demonstrated ability to draft reports, correspondence and other administrative documents as needed.
• Demonstrated ability to organize meetings and carry out complex scheduling required.??
• Self-motivated, attentive to details and flexible.
