Serving as the frontline customer service representative for the office, the Admissions Assistant assists prospective students, applicants, and admitted students by responding to inquiries and providing information through multiple channels (e.g., in person, email, phone).
Responsible for monitoring multiple email inboxes and responding to emails from both prospective and admitted students
Assists with logistics (e.g., space, materials, webinar links and video trimming) for recruitment and yield events, as well as Doctor of Education Leadership Interview Days
Supports marketing and recruiting initiatives in other ways as needed
Coordinates the scheduling of small group information sessions and one-on-one appointments with admissions counselors
Manages and schedules class observations for prospective and admitted students
Assists with application processing, including tracking materials and other applicant-specific details
Processes official transcripts (both hard copy and electronic) from admitted students and works with the Associate Director to communicate with students as part of the office's Terms & Conditions of admissions offers
Manages credit card transactions, payments, and reimbursements for admissions staff members
Manages inventory of office supplies
Assists with updating and maintenance of HGSE Admissions webpages
Performs related duties as required

Minimum 2 years experience required. Ability to work overtime during peak periods required.

- Bachelor's degree strongly preferred.
- 2+ years administrative experience in an academic environment or equivalent (e.g., student services) preferred.
- Excellent interpersonal, oral/written communication, proofreading, and financial record-keeping skills required; demonstrated ability to exercise independent judgment, initiative, detail/accuracy, and follow-through.
- Manage large volumes of work and meet shifting deadlines with flexibility and poise.
- Computer literacy and ability to learn new applications and systems quickly; demonstrated experience in MS Office Word and Excel.
- Ability to work independently and as a member of a team with minimal supervision in a fast-paced environment with good judgment, tact, and a sense of humor; ability to handle complex and confidential information with discretion.
- Familiarity with Harvard financial systems a plus.
- Previous experience providing a high level of customer service in a busy office
This is a key administrative position in a fast-paced department with a collegial environment. In addition to the duties and responsibilities listed above, the successful candidate will have an interest in working with individuals from diverse cultural backgrounds and will be expected to: (1) coordinate work with supervisors, follow up on delegated projects and assignments, and provide and request status updates; and (2) proactively contribute to the improvement of office operations.
