Bentley UniversityJob Description SummaryThe Office of Student Programs & Engagement (SP&E) enriches Bentley's transformative undergraduate learning experience by creating environments and opportunities that facilitate authentic social connections and holistic student development. Our student-centered and values-driven programs, leadership experiences, and services bring students together and prepare them to be change agents at Bentley and beyond. SP&E is comprised of seven full time professional staff and two graduate assistants. The department is inclusive of campus traditions and programs, fraternity and sorority life, student organization support and advisement, student center program management and operations, student employment, and student governance and activity fee responsibility. The team works collaboratively, both internally and with other departments within the Division of Student Affairs, to achieve its mission and learning outcomes for students.
Reporting to the Director of Student Programs & Engagement, the Associate Director is responsible for serving as a leader within the department and working to ensure vision, oversight, and cohesion across all functional areas. The Associate Director will work directly with the Fraternity and Sorority Life community, supervise departmental marketing initiatives, and advise management of the Student Activity Fee. The Associate Director supervises two Assistant Directors and will indirectly provide vision and support in the areas of student organization management, student programming, and Student Center operations. The Associate Director coordinates these areas, both directly and through the supervision of staff, to enhance co-curricular engagement and achieve institutional, divisional, and departmental strategic goals. The Associate Director also serves as a representative of the department in divisional committees and spaces while also managing key elements of strategic planning, assessment, and action planning for SP&E.
Essential Duties- Supervise two Assistant Directors, one responsible for student organization management and development and one responsible for Student Center operations and staffing. The Associate Director provides strategic vision and indirect support for these areas by serving as a supportive and developmental supervisor. The Associate Director will also indirectly support two Program Coordinators and two Graduate Assistants.
- Maintain vision, oversight, and support to Bentley's Fraternity & Sorority Life (FSL) community, including strategic planning, risk management and compliance, hazing prevention education, expansion initiatives, policy management, and the standards program. The Associate Director maintains a shared responsibility for supporting and advising the FSL community consisting of 10 chapters (6 fraternities and 4 sororities) and well as 4 councils, through strong connections and values-driven relationships with its members and student leaders.
- Provide oversight for and maintain fiscal responsibility of the Student Activity Fee, which totals over $1.5 million. Responsibilities include direct advisement and support of AIA (Allocation and Internal Audit), the governing organization of elected students who manage the allocation and spending of the fee. The Associate Director will maintain intentional advisement of AIA, strong connections to University Financial Operations staff, adherence to departmental and university policies related to student organizations and funding, and an awareness of and ability to report on the State of the Fee, both on an annual basis and regularly throughout the year.
- Manage the departmental marketing strategy, content, and brand, including direct supervision of the HYPE Marketing Team consisting of 12 student employees. The HYPE Marketing Team is responsible for SP&E's social media, graphic design, digital marketing, photography/videography, blog writing, and other innovative marketing efforts to ensure students are aware of and engaged in the department and its offerings to the campus community. The Associate Director is responsible for hiring, training, supervising, evaluating, and providing team building for this team of student employees in alignment with the department's student employment program and philosophy.
- Develop and implement departmental policies to ensure consistency and equity across all areas within the department and in alignment with SP&E's mission and vision. The Associate Director will work collaboratively with staff members to regularly evaluate and update policies as needed, including those related to student organizations, student employment, fraternity and sorority life, and the Student Center.
- Identify and assess for risk management within SP&E, including risk and liability related to programming, off-campus travel, management of the campus pub, and student organization and FSL membership. The Associate Director will work collaboratively with staff members to identify and mitigate risk and liability across the department, including educational trainings and opportunities as well as oversight of safety procedures and policies.
- Serve as a liaison for Campus Groups, the department's org management and community engagement platform. The Associate Director will provide vision and strategy for how SP&E will maximize utilization of Campus Groups and ensure consistency across all functional areas within the department. The Associate Director will also serve as a resource to other departments utilizing the platform within the Division of Student Affairs, elevating its use in the divisions' BentleyPlus program, and by identifying new ways to use the platform for student engagement.
- Co-advise the Falcon Society with the Associate Dean Student Engagement. The Falcon Society is a group of students recognized and honored for their significant contributions to the campus, in and outside of the classroom. The Associate Director is responsible for advising students through the annual selection process each spring semester and assisting in the planning and execution of the formal recognition ceremony.
- Serve as a BentleyPlus advisor by attending role-specific trainings, facilitating advising sessions, and sending follow-up communication to advisees.
- Provide leadership in the absence of the Director and assists in decision making and strategic planning for the department.
Other Duties- Assist with department-wide Student Programs & Engagement programming.
- Support the department's social and racial justice planning and goals.
- Serve on divisional and campus-wide committees.
- Perform other duties as assigned.
Minimum Qualifications- Master's Degree in Student Affairs, Higher Education, or related field with knowledge of student development theory.
- 4-6 years of progressive experience in a Student Activities setting.
- Experience working directly with and advising Fraternity and Sorority chapters and/or councils.
- Demonstrated experience in supervision and development of professional staff.
- Attention to detail, ability to manage ongoing and multiple responsibilities, and strong work-ethic.
- Passion for working in a fast-paced and dynamic department as an active and engaged team member.
- Prior experience in risk management, assessment, and budget management.
- Experience in multicultural settings, diversity training programs, second language fluency, or coursework in multicultural perspectives is desirable.
Work Environment- Fast paced environment, evening and weekend hours as related to programs and services required.
- Depending on the program/event, physical involvement with respect to set up of furniture or equipment may be necessary.
- Ability to work in an open flexible office space which requires frequent interruption and movement throughout the building.
- The position requires and ability to manage multiple priorities in a fast-paced environment.
