The School of Engineering at Brown University has a new and exciting opportunity to hire an Executive Assistant to the Deans.
This position provides critical, high-level coordination of activities with the School of Engineeringâ™s Deanâ™s offices. The incumbent serves as the central liaison between the Dean, Associate Deans, faculty, students, staff and other internal and external constituents with whom the Deanâ™s interact. The Executive Assistant proactively manages the Deanâ™s schedule, travel arrangements, special projects and events, laboratory and course administrative assistance, drafting correspondence and reports, meetings, and arranging faculty meetings. Representing the Dean to visitors and greeting visitors to the School and directing them appropriately. Support meetings and committee arrangements for the Deans.Â The incumbent manages the Associate Deanâ™s schedule and calendar, drafting correspondence, laboratory and course administrative assistance, drafting correspondence, and arranging meetings and assists the Director, Finance and Operations as needed with scheduling and meetings.

The successful candidate, as a minimum, should have the following background:Â
Education and Experience
Bachelorâ™s degree or equivalent combination of skills and experience. Three years of executive level administrative experience, Experience in a university setting, preferred.
Strong organizational, administrative and time management skills. Initiative and judgment to independently problem solve and prioritize workload in a multi-task environment while maintaining careful attention to detail.
Ability to work independently and implement short and long-term goals independently, but also as a strong team member when the situation warrants.
Strong customer service orientation with very high level of oral and written communication and interpersonal skills with the ability to elicit and communicate information in a clear, informative and concise manner. Confident public relations.
Very high level of computer expertise and continued interest in maintaining skills: Computer proficiency in word processing, spreadsheets, computerized accounting, database systems including Microsoft Word, Excel and the Internet.
Demonstrated editing and proofreading skills.
Ability to interact effectively with a wide range of internal and external constituents and to develop and maintain effective working relationships with individuals and organizations reflecting a broad range of identities, perspectives and experiences.
Proficiency with Zoom, WebEx, and other virtual video conference platforms.
Strong analytical, research and problem-solving skills.
Thorough knowledge of office systems (records maintenance, procedures, etc.).
Detail orientated with a high level of accuracy.
Ability to work under pressure and exercise tact, discretion, judgment and ability to prioritize task completion.
Ability to handle sensitive, confidential information in a professional, discreet and diplomatic manner.
Demonstrates a strong commitment to the Universityâ™s goals of cultivating a diverse and inclusive environment.
Experience scheduling complex travel arrangements for high level management.
Experience with processing invoices, purchasing, expense tracking, and other financial transactions.
