The SEVIS Manager is part of the ISSS team at Vanderbilt University and is a key individual contributor responsible for overseeing the full range of regulatory responsibilities related to the Student and Exchange Visitor Information System (SEVIS). This position ensures institutional compliance with federal regulations governing international students and scholars in the United States. Reporting directly to the ISSS Director, the SEVIS Manager collaborates frequently with campus partners across the university.
The SEVIS Manager will serve as a key contact for the Terra Dotta ISSS software solution, as well as lead ISSS efforts in data analysis and reporting. This position also advises a portfolio of F-1 and J-1 students on immigration and personal matters. Hybrid work approved and fully remote work may be considered in this position. Scheduled campus visits are required for remote employees.
International Student and Scholar Services (ISSS) serves to be the primary resource for non-immigrant students and scholars at Vanderbilt University. International Student and Scholar Services foster the education and development of non-immigrant students and scholars to enable them to achieve their academic and professional goals and objectives. ISSS provides advice, counseling, and advocacy regarding immigration, cross-cultural, and personal matters. ISSS supports an environment conducive to international education and intercultural awareness via educational, social, and cross-cultural programs.
Duties and Responsibilities
Manage federally reportable international student and scholar data flows between three systems (PeopleSoft, Terra Dotta ISSS Solutions (TDS), and SEVIS), ensuring reporting requirements with federal regulations.
Reconcile data inconsistencies among systems to ensure the integrity of data and timely and accurate data submission to the Department of Homeland Security.
Monitor database functionality, data feeds, and batch processing; monitor batch files for errors and resolve or route to advisor for resolution, as appropriate.
Conduct internal audits for data integrity and consistency of student/scholar files and database records.
Monitor SEVIS alerts and Terra Dotta reports and contact students or alert advisors as appropriate.
Work closely with the Process and Solutions Implementations (PSI) team to troubleshoot errors and translate business requirements into TDS applications/workflows to maximize accuracy and optimize efficiency.
Administer upgrades, testing, and validation in the Terra Dotta environment, including transitions to new modules and functionality.
Provide expertise to the primary users of the Terra Dotta ISSS Solution; develop and coordinate training resources for other advisors and on-campus partners.
Serve as point person for website updates and contributes to social media/communication efforts.
In collaboration with the Director and Associate Director, prepare IIE Open Doors reports and respond to statistical inquiries from Vanderbilt units and external entities.
Oversee a portfolio of F-1 and J-1 international students; advice on immigration requirements, process immigration requests and benefits, advise on various personal and academic issues and collaborate with department contacts to resolve issues.
Assist in the development, coordination, and delivery of ISSS programs, workshops, and presentations.
Other duties as assigned.
Bachelor’s degree in a related field is necessary.
A Master’s degree in Information Systems, Higher Education, or a closely related field is preferred.
A minimum of three years of relevant experience is necessary, including experience with records management and relational databases and experience with F-1 and J-1 federal reporting requirements.
U.S. citizenship or permanent resident status is required to access the SEVIS system.
Experience with Terra Dotta ISSS or other immigration case management software is preferred.
Experience working as a DSO and/or ARO is preferred.
Experience with website design and maintenance is preferred.
Experience working in higher education is preferred.
Experience with statistical analysis and report writing is preferred.
