Basic Function and Responsibility
Analyze academic programs and policies for the sake of accurate representation in the Degree Works software. Collaborate with departments and the Curriculum Committee/Catalog Team on the best way to structure programs for improved data flow and accuracy. Provide technical expertise for upgrades and integrations with Degree Works.
Degree Works Lead Duties
Oversee the process of creation and maintenance of Scribe code based on catalog requirements with the addition of a new Catalog annually
Maintain Degree Works configuration tables and make the appropriate adjustments as needed
Train and create training resources for staff, faculty and advisors in the use of Degree Works, Planner, CPoS, etc.
Research new releases of Degree Works software and provide an analysis of which release is best for the University, keeping track of bugs, patches, and the product roadmap
Answer support questions as needed from staff, faculty, and students, along with maintaining online FAQ for Degree Works
Provide best practices oversight, development, documentation and maintenance. Interact with and keep up with new knowledge shared by the online community of Degree Works users at other schools
Collaborate with IT on all updates to Degree Works software to test functionality; keeping up to date with releases, changes and new functionality. Keep staff and students updated on any changes to the software
Train and ensure the accurate entering of exceptions and substitutions for all students by the Transfer team and the Reporting and Degree Works Specialist
Understand higher education and specifically Biola policies and procedures relating to degree and program requirements for undergrad, grad, and certificates; including grading policies, repeats, withdrawals, duplicate courses, course substitutions, dual degrees, course equivalents, graduation assessments and transfer articulation
Analyze if new programs, majors, concentrations, or additional Banner codes may be needed and work with the Assistant Registrar for SIS and/or the curricular support team on any changes needed based on business requirements
Research, analyze, and coordinate with the appropriate parties to implement Biola policies that would benefit the University as it relates to Transfer, Financial Aid Program of Study, Planner, or Reporting in Degree Works
Assist and collaborate as needed with the Business Systems Analyst for the Student Educational Planning for support of Biola’s academic planning software
Work with the Office of Curricular Support, in collaboration with academic departments if necessary, regarding curriculum to make sure that requirements are shown accurately on Degree Works
Gather info, communicate, and coordinate with IT on any business requests for customizations from other departments (Registrar, Academic Advising, etc.)
Research, implement, and support new software features associated with Degree Works including but not limited to SEP, TESS, Program of Study, Athletic Eligibility, and so on. Provide analysis of resources needed for the implementation process
Project Management Duties
Track all requests for Degree Works updates or integrations
Train and coordinate projects completed by the Reporting and Degree Works Specialist
Assist in the project management of new software implementations for the Registrar’s Office as assigned by the Registrar Leadership Team
Maintain a lifestyle in consonance with sound Christian principles and those promulgated by the institution
Participate in the spiritual growth, development, care and support of other employees assigned near this position
Perform other duties as may be assigned
Supervision Received Reports to Assistant Registrar for Student Information Systems
Qualifications General: Experience with Degree Works is required; experience with Banner is preferred. Knowledge of computer systems and programming. Familiarity with Biola and/or higher education.
Education: Bachelor’s degree
Desired Skills: Background in computer programming languages. Knowledge of Degree Works Scribe. High level of accuracy and attention to detail. Excellent written and verbal communication skills.
