ASSISTANT DIRECTOR, ENROLLMENT SERVICES, Study Abroad

The Assistant Director, Enrollment Services is responsible for operational aspects of BU Study Abroad admissions and enrollment processes serving 3,000+ students per year. Under the direction of the Director, Enrollment Services, the Assistant Director, Enrollment Services oversees the student application system and other systems as well as the department's grant and scholarship pool. This position interacts daily with students, advisors, parents, partner institutions, and program site staff, and must foster strong working relationships with key academic and administrative units on and off campus. The Assistant Director leads a team of three Program Coordinators within the larger Enrollment Services team.
Key Responsibilities/Essential Job Functions:
Hire, train, supervise and evaluate the three Program Coordinators responsible for the daily operations of the BUSA front desk and application and document processing: : foster a supportive, collaborative approach amongst the team; provide on-going training and professional development opportunities and guide staff in delivering excellent service, and accurate, consistent, highly responsive out-going communications; implement quality assurance measures, monitor work volume and plan proactively for coverage during peak periods and provide back-up coverage as needed; design and implement PC rotation schedule. (35%)
Oversee student application and general pre-departure document processing and coordinate daily enrollment services tasks. Perform initial student registration through BUSA web registration tool and follow up on related technical and compliance issues; liaise with various BU administrative offices to verify student registration for BUSA programs; issue BU Login Accounts to registered non-BU students; related troubleshooting and student and site staff support. Primary Enrollment Services staff member responsible for University Information Systems (UIS) and Students Information Systems (SIS), and serve as Departmental Security Administrator (DSA). Monitor various systems for data integrity issues. Audit application files for missing documents; correct processing errors and communicate with students, faculty, and advisors regarding document submission. Send regular batch email reminders to students regarding application and pre-departure document submission and fulfillment of registration requirements. Coordinate daily transfer of applicant data to internal databases. Maintain electronic and paper filing systems. Maintain the back end of the online application system (opening and closing programs on the application, adding and removing programs when they are created or retired). Maintain application document requirements. Participate in special University and information systems development projects as assigned by supervisor. (30%)
Manage the process for BUSA grants and scholarships (SAG), and with the Development Office, manage endowed scholarships intended for Study Abroad students. Advise students on financial aid options and funding. Determine SAG award amounts (per established awarding structure) and notify students of award. Communicate SAG awards to Office of Financial Assistance to assure that grants are processed and student accounts adjusted accordingly. Monitor all awarding activity and annual award budget expenditure, and provide reports to Enrollment Services and SA leadership. Review and edit published materials related to financial aid including web and print materials. (20%)
Oversee and manage implementation of General Advising (and associated processes) for Enrollment Services. Perform study abroad advising for inquiring students and serve as primary advisor for scholarship-related inquiries. (5%)
Primary staff person responsible for training new hires across Enrollment Services. Assist with student info sessions, office wide events and off-campus recruiting as needed, particularly as primary advisor on admissions processes and financial aid. Assist with ad-hoc data reporting, especially on Study Abroad Grants and Scholarships. (5%)
As a member of the Enrollment Services Leadership team, support Director, Enrollment Services in developing, implementing and enforcing Study Abroad enrollment policies, procedures, strategic plans, goals and recommendations. Back-up to other ES Leadership team members. (5%)
Three to five years of experience, preferably in a university setting
Management experience preferred
Excellent organizational skills; highly attentive to detail

Ability to handle a large volume of work and prioritize effectively
Strong analytical and problem solving skills necessary

Advanced computer skills; experience with FileMaker and web-based admissions software a plus
