Role summary: Works independently on standardized/recurring assignments and under the direction of senior staff on more complex tasks. Prepares retirement enrollment materials for financial advisors, third party administrators (TPAs), and plan sponsors to conduct enrollment and annual review meetings. Provides support to the department or team by performing various administrative and clerical tasks to help support the department's operations. Participates in testing system enhancements and department projects; may assign work and direct the activities of others on the team.
Primary responsibilities/essential functions:
Processes requests for customized retirement plan enrollment materials
Reviews requests from financial advisors, TPAs, plan sponsors and internal contacts regarding customized retirement plan enrollment material orders and other literature requests.
Ensures completeness of documents submitted and understanding retirement plan details (i.e., restrictions); follows up with requestor, as needed, to clarify missing or conflicting information.
Enters plan-specific details into third-party web-based system.
Researches internal systems (e.g., identify plan contacts, timing of retirement plan enrollment meeting), as necessary.
Utilizes additional external vendor systems to add outside funds and to put information on advisor websites.
Reviews all work to ensure accuracy of information.
Processes change notice requests, plan updates, and stable value fund updates.
Monitors numerous mailboxes for RP Enrollment and Workflow
Distributes requests to associates, and records the daily number of orders received by work type.
Processes changes or updates to orders, and makes appropriate notes regarding updates in multiple systems (e.g., Broadridge, Salesforce.com, Retirement Plan Access).
Acts as a department resource for enrollment material orders and other related RP enrollment requests
Shares knowledge, skills, and experiences with other associates; may facilitate training for associates, in and outside of the department.
Identifies trends (i.e., cancellations, corrections) and system issues, and recommends solutions.
Conducts quality checks of orders to ensure accuracy and provides feedback to peers as appropriate.
Participates in system testing and department projects
Tests system enhancements by executing test scripts and documenting results. Identifies issues, provides input, and makes suggestions for improvements.
May participate in department projects, such as updating documents, assisting in creating new guidelines for processes, and training.
Provides administrative support to the department or team
Prepares and distributes reports for various departments.
Receives, sorts and prepares out-going requests/mail for scanning, faxing and batching in paper. Routes items to other groups as appropriate.
Reviews, logs, sorts and distributes incoming mail and other documents.
Prints, reviews and prepares work product for the department. Ensures that critical report work is delivered for processing and completion. Ensures that all requests are completed within required deadlines.
Responds to internal questions and inquiries.
May order and maintain supplies.
May coordinate work distribution with peers in the same office or other sites. May conduct review of work to assure accuracy and appropriateness.
May represent the department to internal groups.
Performs additional responsibilities as assigned.

Demonstrates a working knowledge of department's policies and procedures and ability to apply it to work assignments.
Demonstrates working knowledge of retirement products and plans, and ability to apply it to work assignments.
Demonstrates working knowledge of internal and external RP systems, and ability to apply it to work assignments.
