CAHP Student Services Admin Specialist position The Student Services Administrative Specialist provides customer service and office management, including initial contact for support and referral to students across all degree programs in the Center for Allied Health Programs. Additionally, this staff member coordinates student records, facilitates admissions events and logistics. This position reports to the Director of Student Services.
Duties/Responsibilities: Office Coordination and Student Services tasks (50%): • Coordinate communications to students and prospective students about information related to admissions, compliance requirements, financial aid, and course registration • Handle complex interpersonal communications with stakeholders inside and outside of our organization • Manage and triage CAHP email accounts • Answer phones for CAHP Student Services • Maintain and/or modify student information for enrollment records, event registrations, financial information in multiple databases, including, but not limited to: Slate, EXXAT, Tableau, Peoplesoft, UMN Advising Tools • Maintain Advisor Calendar, including scheduling meetings with students • Financial Reconciliation of University PCard
Admissions and Recruitment tasks (45%): • Manage all aspects of the admissions interview procedures, which includes communicating with students, scheduling appointments, etc. • Create, organize, maintain, and review program materials, files, and documentation • Print and organize admissions materials for review • Prepare and facilitate all academic paperwork including degree verification, course equivalency petitions, and other forms • Assist in maintaining the Common Application System and Slate databases • Manage compliance records and processes including communication with students • Admissions Data Analysis • Utilize available databases in order to produce reports regarding student and applicant data for use by Student Services Staff, Program Directors, and Admission Chairs. • Provide timely updates for the admissions committees on various data collected and analyzed, such as underrepresented minorities or first-generation applicants. • Ongoing cross checking of data with previous years and admissions goals to ensure data is on track with program goals
Student Services Event Planning (5%) • Coordinate, organize, and execute recruiting and new student orientation events • Reserve venue, arrange catering and any other external vendors needed while maintaining fiscal responsibility and compliance with all University policies. • Address participant questions, set-up registration • On-site administrative support during events in-person or via zoom. • Assist with recruitment travel

Required: • High School Diploma/GED and five years related experience to include project management • Commitment to diversity and inclusivity • Exceptional interpersonal skills, with the ability to interact professionally with a wide range of people: Demonstrated ability to be outgoing, professional, friendly, and comfortable staffing the reception desk and being the first point of contact for that area. • Experience and proficiency using word processing, spreadsheets, online databases, and other computer applications and software (i.e., Google Suites and/or Microsoft Office) • Strong organizational and detail-oriented skills • Excellent verbal and written communication skills
Preferred: • Experience with Slate, EXXAT, Tableau, Peoplesoft • Understanding of post-secondary education environment • Student services or admissions experience in a higher education setting
