This recruitment will be used to fill one full-time Administrative Program Assistant position for the College of Education at Oregon State University (OSU).
This position supports the needs of the Educator Preparation Programs (Education and Teaching), the Head Advisor, and the Associate Dean of Educator Preparation by handling the day to day and special administrative tasks as required while maintaining an on-campus presence. As the public's first point of contact for the College, this position provides excellent service and responsiveness to students and the larger community who contact the College of Education in-person, via email or phone.
This position also provides administrative and collaborative support for administration, faculty, staff, students, and others in the College of Education as described in the position responsibilities. Responsibilities include partnering with the Head Advisor on communications with students, supporting advising needs, communicating program staffing, schedules, and student application and enrollment data, and connecting with the college admissions. This individual performs office work that may include varying amounts of record and document processing, file maintenance, volume word processing, mail handling, public contact and information dissemination, record keeping and licensure, student file tracking and maintenance.
The College of Education contributes to major national dialogues concerning research and the promotion of social justice in (1) the success of English language learners of all ages; (2) developmentally appropriate pedagogy for all ages; (3) learning in science, technology, engineering, and mathematics inside and outside of school; (4) the preparation of mental health and school counselors; (5) adult and higher education leadership. Three years of office experience which included two years at full performance level and experience generating documents; and Lead work responsibility or coordination of office procedures.
Experience in customer service via in-person, email and phone contact while exhibiting a calm, friendly, and responsive demeanor, utilizing empathetic interpersonal skills, and maintaining confidentiality.
Experience with technology systems such as Microsoft Office (including Word, Excel and Outlook), computer applications for scheduling, data entry and management, word processing, and spreadsheets for tracking data with a willingness to learn new computer technology/applications.
Experience carrying out systematic processes and work assignments that require accuracy and attention to detail.
Documented skills in time management and ability to work under pressure with frequent interruptions while meeting deadlines.
Ability to work independently with minimal guidance and as a collaborative team member.
Experience collaborating with others with a flexible and positive approach.
Demonstrated analytical thinking and decision making based on policy, regulations and procedures, i.e., ability to think through systematic processes prior to taking action
