The Manager of Academic Records, responsible for the accuracy and analysis of all Georgetown College student academic records, maintains a thorough understanding of the College curriculum, academic policies, student information system, and all other ancillary software applications used to manage, collect, store, and report on academic data. Reporting to the Vice Dean for Undergraduate Education, interacting frequently with three other Vice Deans, the Senior Associate Dean for Finance and Administration, and fourteen advising Deans and Academic Counselors; and supervising an Academic Records Specialist, the Manager of Academic Records has duties that include but are not limited to:
Academic Records and Systems Management
Collaborate with advisors in the College Dean's Office and the Office of the University Registrar to create policies and procedures involving academic records maintenance
Manage internal processes for updating academic records in the university's student information systems (Banner and Slate)
Manage processes for data collection and workflows in software platforms such as Google Forms, Qualtrics, and University Tickets
Troubleshoot issues in academic records
Design and execute processes to clean data and maintain the integrity of the record
Program degree requirements in Degree Works - the University's degree auditing system - in collaboration with College departments and academic advisors
Manage all internal data for Georgetown College Commencement, initiatives and events for new students, and other special projects using Microsoft Access and Google Sheets
Manage student communications lists
Clear students to graduate
Collaborate with University Information Services to set up electronic filing system in Salesforce
Train Dean's Office staff, department heads and administrators, and other campus allies on software and administrative processes
Reporting and Data Analysis
Create custom reports and run standard reports for deans and departments in Cognos Analytics
Manage reporting calendar and set up recurring reports on a schedule
Run reports on advancement data through Salesforce
Analyze data and create data visualizations to assist vice deans and department heads with their strategic planning
Interact with the Office of the University Registrar and University Information Services to resolve reporting issues
Serve on university working groups related to data and reporting
Master's degree in an academic field appropriate to a college of arts and sciences
Five (5) years of work experience in a complex office environment, preferably an academic administrative office
Appreciation for the value of a liberal arts education
Ability to manage multiple projects simultaneously, meet time-sensitive deadlines, and set priorities
Strong orientation to detail
Strong problem-solving skills and a high aptitude for analytical thought
Ability to work well under pressure and function as a team player
Sensitivity to the needs and concerns of a diverse student population
Excellent communication skills
Experienced with data manipulation and analysis
Technical understanding of relational databases, SQL, Boolean logic, basic web programming
Familiarity with Microsoft Office/365
Familiarity with Banner or another student information system
