Department/Program Description: Art & Art History
Position Summary: The Department of Art & Art History is seeking a Student Services Specialist (SSS) to serve as a member of a two-person student services team, reporting to the Student Services Officer (SSO). Typical duties include serving as the primary resource for approximately 145 undergraduate students in three academic majors and minors and two undergraduate Honors programs and providing related support to faculty. The SSS manages multiple critical projects including WASC reporting requirements, management of the Arts Portfolio application, department materials grants, and hires and manages three undergraduate Peer Advisors. The SSS develops, implements, and seeks to improve processes and procedures including major/minor declaration, peer advisor recruitment and hiring, and CPT and internship course enrollment. The SSS makes recommendations and resolves questions on issues regarding admission, financial aid, advising, registrar services, visa services, and academic services. This role also provides advice to students on a range of issues, including academic program policies, academic progress, and career plans, to guide them in making appropriate choices and decisions. The SSS works closely with the SSO and Directors of Undergraduate Study and other department faculty and offices across the University, typically Admissions, the International Center, Office of the Registrar, and Undergraduate Advising and Research, to resolve student issues, and is responsible for departmental undergraduate recruitment activities, including participation in the university-wide Admit Weekend event. The SSS will be cross trained in the requirements and systems of the graduate programs to provide backup support for the SSO as needed. The SSS uses a variety of web-based applications including PeopleSoft, Oracle BI, Slideroom, and Google forms, and should demonstrate excellent problem-solving skills and judgment, be detail oriented, resourceful, highly motivated, enthusiastic, well-organized, and able to work independently. Review documents and forms for completeness, track files for follow up and distribute for review.
Research and resolve routine issues, refer complex issues to other staff.
Input data, update electronic databases, web sites, literature, and associated materials. May collect, gather and validate data, prepare basic reports.
Coordinate logistics for outreach activities, meetings, and events.
Respond to routine inquiries from students, faculty, external constituents, and staff.
Serve as a subject matter resource to students and other departments.
Contribute to general office administration and process improvements.
May train and direct day to day activities of student and temporary workers.
