Title: Part-Time Enrollment Assistant

General Summary: Provides student advocate services in the Student Information Center, a highly active office serving individuals from diverse backgrounds. Responds to inquiries and concerns in a problem solving customer service mode by assessing the nature of the inquiry or concern and determining the best method to answer an inquiry or resolve a concern.
DUTIES AND RESPONSIBILITIES WILL INCLUDE:
Supports the daily operations of the Student Information Center, serving a diverse population, in an efficient and professional manner with minimal supervision due to the dual campus arrangement while promoting the goals of the department and college.
Serves as a student advocate by finding solutions to the student's issues and problems and maintains a liaison with faculty, advisers, personal counselors, admissions office, bursar's offices and divisional support staff as a means of following up to ensure student inquiries/concerns or problems have been addressed and resolved.
Provides information to students, faculty members, and other college staff relating to enrollment services or college related matters whether in person, by telephone or email using the BANNER student information system and Degree Works.
Registers students, schedules enrollment, registration, testing and advising appointments using SARS system, processes add/drops, withdrawals, address changes, program changes and assigns pin numbers to students in BANNER system, resolving problems as they are encountered in any one of these activities, and resets passwords using the Super User Tool.
Instructs students in the use of computer software such as MyMCC and Blackboard to register for courses, obtain grades, run a degree audit and reset passwords.
Assists Faculty in using MyMCC to enter midterm deficiency grades and final grades, print class lists, retrieve students' contact information and resets faculty member passwords.
Maintains knowledge of and explains to students the entrance requirements to certain health programs (such as Radiologic Technology, Nursing and Dental Hygiene where entrance requirements are more complex than some other programs), the policies and procedures with placement testing, course prerequisites and course intensives.
Meets with parents of students and explains the rights and procedures with regard to the Family Education Rights and Privacy Act as appropriate.
Advises Faculty of the procedures to determine when it is appropriate to give a student an academic withdrawal or incomplete grade and enter grade changes submitted by Faculty.
Confers with the Registrar or Associate Registrar on matters of policy and procedure for complicated situations
Researches and obtains problem test scores and enters into BANNER system as necessary.
Generates and print transcripts using various BANNER applications.
Researches and follows-up on requests by students or faculty (e.g. non-attendance letters, grade changes, etc.).
Verifies student enrollment information for outside entities in accordance with established procedures.
Maintains program materials in good order; arranges for resupply of forms from facilities as needed; and provides routine maintenance/supplies for office equipment.
Copies and maintains records and informational materials; distributes materials around campus; provides routine service on copy machines such as installing cartridges and clearing paper jams; and orders supplies as needed.
Completes related duties as assigned
High school diploma/GED, Associates Degree preferred.
1-2 years experience in office administration/customer service experience
Excellent customer service, interpersonal skills and the ability to deal tactfully with others.
Ability to understand and apply the laws, rules, policies and procedures governing assigned College activities.
Ability to read, write and comprehend the English language including using proper grammar and spelling.
Ability to communicate effectively in oral expression
Ability to work with data, names and numbers with accuracy.
Ability to follow written and oral instructions.
Ability to maintain accurate records and to file material in accordance with standard filing procedures.
Ability to operate a personal computer and to have knowledge of Microsoft Office suite (Word, Excel and PowerPoint).
Ability to exercise sound judgment and to maintain confidentiality of student records.
Experience or knowledge working with individuals of diverse socioeconomic, cultural and ethnic backgrounds, including those with varying physical and learning abilities.
Bilingual skills preferred
This is a part-time, non-benefited, non-unit position, not to exceed 18.5 hours per week.
