About the Position: The College of Health and Human Development is provides exemplary education, research, and community outreach related to human health, development, and lifelong well-being . Within the College of Health and Human Development, the School of Nursing is committed to educate and transform nurses to practice in dynamic healthcare environments with diverse populations. We are seeking an exceptional individual to join our team as a Document Specialist (Administrative Support Assistant II). The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.
Nursing Education requires the coordination of field education and therefore the facilitation of student onboarding processes at a variety of community and hospital agencies. The School of Nursing requires students to maintain a set of core required documentation. In addition, partnering facilities require onboarding materials/trainings of which are periodically updated and the academic partner is responsible to organize, communicate and prepare for student onboarding. The School of Nursing has a Clinical Placement and Document Team to serve as liaisons to coordinate the practicum/rotation placement process and together as a team is responsible to make sure students can successfully start their field education.
In coordination with the Clinical Placement Team, the Document Specialist is responsible to facilitate all student clinical/practicum document clearance processes, maintain and update the School of Nursing's (SON) document management system and SON website for all clinical/practicum student clearance processes, read and interpret medical documents and additional documentation required for clinical/practicum clearance procedure, orient students on how to order document management system through written documentation, work closely with the Clinical Placement Analyst, other team members, advisors and staff to understand clinical documentation requirements for all partner facilities, communicate clinical requirements to students each semester based on placements, track student documents through the document management system or other systems as needed, support students with clinical/practicum onboarding clearance each semester, meet varying deadlines for School of Nursing and clinical agencies, serve as the contact person for all students' document verification, communicate professionally with clinical agencies as needed to coordinate documentation requirements, maintain confidentiality at all times and adheres to HIPAA and FERPA regulations, supports all students and communicates with clinical faculty and/or program coordinators and advisors so that students are current with all required documents at all times, and provide/generate reports relating to student documents as needed. Supports clinical faculty on School of Nursing core required documentation. Other duties as assigned.
Essential Qualifications: High School diploma or the equivalent and three years of experience in general office, clerical or secretarial work or the equivalent. General working knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of office methods, procedures, practices, and equipment. Thorough knowledge of English grammar, punctuation, and spelling with demonstrated competence in effectively presenting standard information in writing. Ability to learn, interpret independently, apply, and identify deviations from a variety of complex policies and procedures. Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions. Ability to perform arithmetic functions of a transactional nature, including tracking and comparing data. Ability to work on the front line, with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills. Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions. Basic typing and keyboarding skills.

Preferred Qualifications: Experience working for a Nursing School. Knowledge of clinical placement requirements. Some familiarity with medical terms used for clinical placements.
