General Summary Completes complex and specialized administrative tasks. Serves as the Department's primary internal and public point of contact. Collaborates with staff, faculty, and departments in preparation for special projects.
Responsibilities & Duties
Serves as the Department's primary internal and public point of contact.
Serves ex officio on the ENV Diversity, Equity, and Inclusion committee and supports special projects of the committee.
Answers questions from students and parents in person, by email, and on the phone, screens telephone calls and visitors; assists all students with issues, concerns, and requests as they arise.
Maintains department website.
Assigns advisors to students, welcome letters to new students.
Organizes weekly departmental emails during the academic year.
Maintains Facebook page, Twitter account, LinkedIn account, and other social media.
Creates and circulates fliers, posters, and announcements.
Organizes annual fall welcomes back event and spring symposium.
Forwards email opportunities such as job postings, graduate schools, and internships to applicable groups of students.
Completes complex and specialized administrative tasks.
Manages renewal of service agreements for equipment.
Delegate of Chair in handling Department vans' paperwork, insurance cards, city stickers, registration, etc.; schedules usage of vans within and outside the department.
Disseminates Motor Vehicle and Driver Safety information.
Schedules, organize, and takes minutes for faculty meetings.
Schedules ENV class meeting times and locations; enters them into Campus Connect.
Maintains grades and manages university syllabi repository as a delegate of faculty.
Approves student worker hours for payroll.
Develops, implements, and maintains electronic filing systems.
Orders computers and interacts with Information Systems for maintenance/updates of software and repair of hardware.
Orders office supplies and non-laboratory equipment.
Collaborates with staff, faculty, and departments in preparation of special projects.
Administrative responsibility for scheduling meetings and seminars and over-enrolling students.
Assists department chair with correspondence to prospective students and other projects as needed.
Performs other duties as assigned.
Education & Experience
2 years of administrative experience desired, some communication and social media content creation experience a plus.
Interviews, hires, and supervises front desk, student employees.
Other Skills & Abilities Required
Ability to work without supervision; excellent organizational skills; proficiency with computer programs such as Word, Excel, and Outlook and the ability to learn new computer applications as needed.
Excellent written and oral communication skills, and interpersonal skills.
Ability to handle confidential information and be detail-oriented.
