Academic Support Services Assistant
University Freshman Center
Reporting to the Associate Director, this individual will be responsible for a wide range of student-oriented services and administrative procedures that contribute to the efficient functioning of office operations.
Greet visitors to the University Freshman Center in a professional, welcoming and friendly manner including students, faculty, administrators, staff members, and prospective students.
Answer all telephone calls promptly with a greeting that includes department, name, and How may I assist you?
Schedule meetings, make student appointments and take clear and concise phone messages for the associate directors and advisors.
Ensure that students are being seen by advisors in a timely manner by monitoring the flow of student traffic and immediately reporting any issues to the Associate Director.
Utilize the Swipe System to promptly swipe in students and ensure that the advisors swipe out their respective students.
Prepare correspondences such as letters, documents, etc. for administrative team members.
Prepare materials for student mailings and assist in the coordination of their delivery.
Maintain positive and effective communications with other University departments and offices.
Assist in the coordination of various activities related to the Phi Eta Sigma National Honor Society.
Perform other duties as deemed necessary by the Associate Director.
Ability to interact with various constituents in a friendly and welcoming manner, especially students from diverse backgrounds.
Functional level of computer literacy; Microsoft office and Banner will be used extensively.
Ability to balance multiple projects.
Minimum of a HS Diploma or equivalent
At least 2 years in an office setting, prior university experience beneficial
Excellent interpersonal skills, propensity to work well with others and interact with constituents of a diverse community in a friendly and welcoming manner
Functional knowledge of Microsoft Office Suite (Word, PowerPoint, Excel & OneDrive)
Experience with Ellucian products; Banner preferred but not required
