Job Description Summary: Responsibilities include, but are not limited to: providing front-line customer service skills via face-to-face contact, emails, and phone to assist staff, faculty, students, prospective students, and visitors; communicating Webster University policy and procedures; advise students regarding admission requirements; have basic knowledge of financial aid and tuition assistance programs; process registrations; data entry; schedule and coordinate student appointments/advisor calendars; perform various office clerical duties and computer skills (MS Office); operate and maintain office equipment and supplies; maintain graduate student files; able to identify student needs and provide assistance with processes surrounding all aspects of educational and financial services of Webster University.
| Essential Duties and Responsibilities* Serves as front line representative of the Office of Academic Advising and Webster University to prospective students, current students, visitors, and other University personnel, both local and global.
Demonstrate working knowledge of all University offices - Academic Affairs, Admissions, Bursar/ Financial Aid, Registrar to properly assist current and prospective students. Academic Affairs - able to communicate policy regarding probation/dismissal issues, extended campus site and student issues. Admissions - able to communicate application process/requirements for all applicants - non-degree seeking, dual enrolled high school students, graduate and undergraduate students. Bursar's Office/Financial Issues - able to communicate various hold issues/meanings, loan disbursement dates, refund. Registrar - Able to communication drop/add/withdrawal policies, transcript requests, graduation requests/diplomas, name change, VA/GI Bill issues
Demonstrate working knowledge/familiarity with University website
Demonstrate awareness of the confidential and/or sensitive nature of student issues.
Maintain calendars for 15+ advisors Responsible for maintaining/creating student filing system for graduate and undergraduate students
Actively utilize the Student Success Portal for documentation and review. Provide basic support for departmental staff, both clerical and equipment based (copier, general software/computer issues) | Secondary Duties and Responsibilities* Understand and contribute to departmental administrative processes
Assist with creation, delivery and evaluation of internal procedures
Assist with training of new employees
Collaborate as liaison to advisors and directors of Office of Academic Advising
Minimum Qualifications At least two years of college coursework and/or work experience
Essential Duties Knowledge of University Policies & ProceduresAbility to exercise critical human relations skills in establishing and maintaining effective working relations with prospective and current students, co-works and the University communityExcellent interpersonal and customer service focused communication skillsKnowledge and experience in administrative software MS Office, CARS, CISCO Detail oriented and ability to multi-task
