Reporting to the Senior Vice President, the Director of MarComm Administration and Special Projects serves on the divisional senior leadership team, leads special initiatives, ensures alignment between senior leaders and departments, manages office operations, and leads daily and long-term operations in Marketing, Communications, and External Relations. The incumbent serves as a principal advisor to the SVP and partners, plans, evaluates, and implements special projects, liaises with university counterparts, manages MarComm goal-setting and reporting, and plays a key role in supporting the SVP's decisions and directives. The Director also interacts with executive leaders, board members, and high-level external contacts on behalf of the SVP.
POSITION SPECIFIC RESPONSIBILITIES:
Scope, plan, and execute multiple, quick-turnaround projects and tasks with minimal guidance or outside assistance, often involving significant exposure and risk on behalf of the SVP. Exercise discretion, confidentiality, and proactively adopt containment protocols to assure the protection of highly sensitive information.
Prepare and produce briefings, talking points, presentations, and correspondence for the SVP or President. Produce compelling and memorable creative visuals that communicate ideas with impact, leveraging the talented communications and design talent/capacity of MarComm.
Supervise MarComm's administrative assistants, coordinators, and support team: set objectives, manage budgets, monitor and address performance, assess outcomes, and align personnel management actions accordingly. Lead a service-oriented team environment that fosters collaboration, teamwork, flexibility, and creativity. Coach team members to maximize productivity and effectiveness. Provide regular feedback on performance and development opportunities.
Attend key meetings, capture action items, and work with colleagues to ensure follow up, successful completion, and appropriate status reporting. As assigned, ensure effective meeting time management, develop agendas, and keep topics on track. Identify and route reviews and approvals.
Lead the development and production of the division's annual report, quarterly board reports, periodic trustee liaison reports, annual goals, and weekly executive briefings.
Staff committees that the SVP chairs, providing operational and administrative support, interacting with committee members, ensuring follow-through, and producing agendas, presentation materials, and action items with minimal direction and requiring a high degree of judgement, synthesis, interpretation, and discretion.
Form project teams and lead special initiatives as assigned by the SVP.
Plan and produce divisional meetings, administrative retreats, seasonal celebrations, newsletters, and special events.
Review, edit, and comment on the university's most sensitive or visible communications, statements, and positions to ensure a high-level of quality control, consistency, content appropriateness, tone, mission integration, brand platform alignment, and target strategies or objectives are considered, reflected, and achieved.
Coordinate with and maintain connectivity with senior team members and key colleagues throughout the division to ensure information currency on key projects and initiatives. Develop and share insights and intelligence that facilitate evidence-based decision making and team innovation.
Represent the SVP and MarComm on committees, internally and externally, and advance the university's strategic interests, goals, and mission.
In collaboration with HR, assist the SVP with searches and recruitment when vacancies in key vacancies or direct reports occur, including job description development, search committee coordination, resume review, candidate coordination, HR coordination, and related activities.
Elevate the productivity, baseline expectations, and core competencies of the administrative support team to provide so that they are synchronized with the needs of senior management.
Minimum of seven years of related administrative, communications, public relations, marketing and business development experience in positions of increasing responsibility, preferably within higher education.
Mastery-level understanding of an academic culture and for LMU's Catholic, Jesuit, and Marymount mission. A deep knowledge for the history, achievements, and aspirations of the university and the ability to effectively articulate the president's vision to diverse audiences.
Knowledge of communications and marketing principles.
Possesses exceptional verbal and written communications skills and compelling and impactful presentation abilities. Has the ability to motivate and inspire creative, communications, and marketing teams as well as colleagues, constituents, leaders, and governance boards.
Experience brainstorming ideas and concepts and recommend solutions and strategies.
Demonstrated experience in complex problem solving. Keen judgement to know when to act decisively and when to seek consensus.
Demonstrated ability to work independently and entrepreneurially; experience creating, developing and implementing new initiatives.
Produces high quality deliverables with meticulous attention to detail. Must be metrics-driven and results-oriented manager with excellent analytical skills. Ability to provide quick turnaround and updates for multiple requests while maintaining high quality work.
Must be able to perform successfully in a fast-paced, intellectually intense, and service-oriented environment. Significant experience leading successful outcomes and navigating political dynamics within a complex organization required. Willing and able to adjust to changing demands and shifting priorities.
Demonstrated successful record of handling confidential information with appropriate sensitivity and discretion.
Demonstrated computer competency and high-level experience with presentation software, web content management systems, and office productivity tools.
Typically a Bachelor's degree, a master's degree or equivalent experience preferred with a specialization in communications, marketing and/or business management.
