Position Title: Chadwick Registrar
Reports to: Director of the Upper School
Receives Guidance & Support From: Directors of Teaching and Learning, Division Directors
Collaborates closely With: Various school and program leaders
Supports: Deans of Students
The Chadwick School Registrar manages student information for grades K-12 on the Palos Verdes campus, including student schedules and transcripts. The role involves daily interactions with teachers, students and families, and active participation in the life of the school. This job is a 12 month position beginning July 1, 2021. The first year of this job will be an onboarding year where the new registrar will receive support and training from our current registrar to understand the processes and systems that we currently have and to support the transition to a new student information system.
DUTIES & RESPONSIBILITIES
The Chadwick Registrar plays a pivotal role in the administration of the school by ensuring that student information is well managed in key areas:
Student Record Management
Work with Risk Management in the maintenance and archiving of long-term K-12 student records.
Manage current information relating to K-12 students' schedules and grades
Support the needs of the upper school
Take on other duties or projects as assigned
Develop and maintain expertise in the school's student information management systems (currently including Senior Systems)
Work with colleagues in admissions, the three divisions, college counseling and the alumni office to create and maintain coherent records
Work with colleagues to develop data and statistical reports in support of division directors, college counseling and institutional research efforts, including, as examples, academic review, grading, course patterns, and testing validity studies.
Attendance & Follow up Communication
Learn and use School Pass
Manage late arrivals and early departures.
Track absences for first period of the day and follow up immediately with notifications to parents that this child is not present
Hold teachers accountable to reporting attendance within the first 5 minutes of class
Shortly after academic day is over, follow up with any teachers who have not submitted their attendance
Report all absences to Deans of Students in a timely manner so that absences can be followed up on (Note: for mixed US/MS classes, the responsibility lies with the registrar)
Create and maintain student schedules for grades 6-12
Ensure that all rosters for academic classes, co-curricular activities, and athletic teams are current and available
Manage and maintain systems for recording and communicating grades and comments
Enter approved grade changes
Track completion of graduation requirements
Generate students’ transcripts for college counseling and any other requests, such as student transfers or withdrawals
Import and manage external records e.g. for students transferring into Chadwick
Manage the book ordering process
Manage room assignments for parent-teacher conferences and advisee-led conferences.
Communicate as appropriate with families, school, and colleges
Respond helpfully and cheerfully to unforeseen challenges, as needed
Other duties or projects as assigned, such as
Serve as advisor to a small group of students
Support communications related to Weekly Progress Reports
Assist as needed with administration related to K-12 and college admission standardized tests, possibly with occasional weekend duties
REQUIRED AND PREFERRED EDUCATION, EXPERIENCES, AND SKILLS
The Registrar must have the following technical capabilities:
Expertise with word processing, spreadsheets, and databases
Experience managing complex logistical systems such as schedules
Comfortable and rapid adoption of new software and procedures
Excellent writing skills
Preferred: Bachelor’s degree and/or Masters
The Registrar must have the following personal characteristics:
