Responsible for providing a broad range of administrative assistance to the faculty, department chairs, dean, and associate dean of the School of Education, Human Performance, & Health, with a particular focus on the administrative needs of the Office of the Dean. Able to apply policies, manage calendars, balance priorities, work with limited supervision in the carrying out internal working procedures, maintain confidentiality, and interact in a positive manner with students, faculty, other University departments, and the public. This position requires a high level of organization, attention to detail, and regular attendance.
Manage and Monitor Unit and Department Budgets: Monitor multiple budgets under the umbrella of the School of Education, Human Performance, and Health. Consult with department and program personnel regarding fund availability, the preparation of funding requests, and authorization processes. Initiate, process, and maintain records of requisitions, payment requests, travel authorizations, travel reimbursements in Peoplesoft. Manage processes and procedures and provide support for faculty and staff searches. Assist faculty with TAPS applications, travel, and reimbursements. Assist the dean, associate dean, and department chairs or directors with budget reports and budget planning.
Prepare and Manage Hiring and Pay Processes: Manage pay documents and rosters for School of Education, Human Performance, and Health full-time and part-time faculty, supervisors and staff. Maintain personnel files for the academic unit. Administer the hiring process for new full-time and part-time faculty and staff positions during and after searches; set up all candidate files and database; assist in search and accreditation logistics including but not limited to travel, grants, and reimbursements. Coordinate and manage processes relating to unit part-time employees and student employees including but not limited to ITAMS approval, reimbursement, and evaluation.
Provide PeopleSoft and Finance Support: Provide support for SoEHPH faculty, grants, and programs. Reimbursements for candidates or visitors including but not limited to searches. Order all materials and office supplies for the academic unit. Manage invoicing and purchasing process and supplier onboarding. Function as the P-card liaison for all purchasing cards in the unit. Processes all deposits in Peoplesoft, and remit to Cashier's office. Receive and create receipts for all monies for the academic unit.
Primary Administrative Support Assistance of the Dean: Provide administrative and logistical assistance to the dean and the associate dean. Responsible for the management of the dean's calendar, making and re-scheduling appointments and locations, changing weekly schedule as needed, preparing necessary documents, and preparing travel documents, reimbursements, and clerical assistance. Manage phone and electronic communications on behalf of the dean and unit with both internal and external stakeholders in a timely and professional manner.
Unit-level Administrative Support: Responsible for documentation of departmental and faculty meeting minutes. Prepares facilities work requests for the academic unit, addresses issues of equipment maintenance and scheduled repair. Manage computer and telephone issues, office relocation, general facility needs, and key requests. Maintain updated unit directory and phone tree. Advertised Minimum Qualifications :
Bachelor's degree, or high school diploma and 4 years work experience that is directly related to the area of employment; or equivalency. Successful background check is required.
