Senior level position, grade 8, that plays a key role in the management of the Admissions Office and in the recruitment and selection of the College’s first-year and transfer class. This position manages outreach, recruitment and yield as well as supervising staff. Directing and managing admissions recruitment requires far-reaching technical and analytical abilities to leverage Slate CRM, as well as strong communication skills. Tasks performed include: managing several office-wide functional areas comprising several key admissions functions; managing and leveraging data, technical, query, and reporting processes in Slate CRM; managing and traveling to a regional territory, physically and virtually visiting high schools and college access organizations, attending college fairs, performing outreach through workshops and presentations; representing the College at professional conferences and the Admissions Office on selected College committees; reading and evaluating a full share of applications; participating in on-campus and online recruitment activities, interviewing prospective students, conducting information sessions, participating in open houses; liaising with staff and faculty at the College; and mentoring and supervising junior staff.
Essential Responsibilities: PROJECT MANAGEMENT
Managing and leading outreach, recruitment, and yield. This includes, but is not limited to, developing high-level strategies to reach national and international prospective students and their family and community members; developing and evaluating a regional territory model that is informed by research, national and international trends, prospect pool growth and decline patterns, and reading application loads; advising the Director and Dean on prospect sources, new strategies, and evaluating existing partnerships; serving as liaison to national prospect source partner(s); serving as travel (physical and/or virtual) coordinator to ensure admissions deans are reaching diverse and intentional audiences as well as stewarding College resources appropriately and effectively; managing and coordinating college fairs, group travel opportunities, panels, workshops, virtual opportunities, and similar programs with admissions deans; leading recruitment training and ongoing professional development for admissions deans; and onboarding new admissions deans to effectively manage and maintain their regional territories. Management responsibilities include leading initiatives while guiding junior staff on developing, organizing, implementing, leading, and assessing various programs and projects.
Working closely with other Associate Deans and project managers of functional areas when overlapping responsibilities arise to coordinate planning and execution of projects and programs.
Leading teams of admissions deans, technical staff, and/or administrative staff to carry out the charge for a given project area. Regularly updates the Director regarding project/program progress.
Managing large recruitment and yield programs, both virtually and on-campus, including Swatlight and Swatstruck, as well as panels, sessions, and student meetings. This includes managing the yield communication plan (in conjunction with other admissions deans and the Director of Enrollment Communications, as well as other campus partners); yield events, panels, tours, information sessions, and initiatives; physical admission packets and other physical publications to admitted first-year and transfer students; admissions portal via Slate CRM; and other duties as assigned.
Regularly working within Slate CRM to build events, forms, queries, reports and other tools as necessary to manage the recruitment portfolio. Works with the Slate team to refine policies, practices, and systems to manage recruitment efforts. Regularly audits processes and systems, including Slate CRM, to proactively solve problems and maintain the integrity of the office’s data systems.
In conjunction with the Dean and Director, managing external relationships with national and local college partners, high school counselors, college access organizations, independent education consultants, vendors, and associations of constituents (i.e., NACAC, PACAC).
In addition to professional staff, may supervise student workers, such as tour guides, bloggers, or clerical student worker staff.
ON-CAMPUS AND ONLINE RECRUITMENT
Interviews prospective applicants one-on-one in order to assess the student’s match for Swarthmore’s program and to answer specific questions.
Conducts hour-long group information sessions in order to provide an overview of the College and answer specific questions.
Coordinate the training of admissions deans to conduct information sessions.
Conducts question-and-answer sessions with prospective students, family members, and counselors.
Participates in open houses and spring yield events, managing logistical and programmatic tasks as directed.
Attends online college fairs, group travel programs, and hosts special topic workshops.
As part of a rotating team, reads, evaluates, and rates applications for admission submitted by prospective first-year students from a regional territory in order to assess the students’ match for Swarthmore’s program.
As part of a rotating team, reads, evaluates, and rates applications for admission submitted by prospective transfer students in order to assess the students’ match for Swarthmore’s program.
As part of a rotating team, reads, evaluates, and rates applications for Discover Swarthmore, the College’s prospective student fly-in program.
Gathers research and helps the training team support and guide admissions readers to read applications holistically and contextually.
May chair admissions committees, facilitating the conversation among colleagues that determines which candidates are ultimately accepted to the College.
TRAVEL & OUTREACH
Takes primary responsibility in counseling prospective students and high school counselors from a regional territory of the U.S. or internationally in order to provide information about the College (e.g., how to apply to college; the selectivity and requirements of Swarthmore). Responds to questions submitted by phone, personal visit, and e-mail. Develops a strategy using quantitative and qualitative data to visit schools and college access organizations that meets the mission and values of Swarthmore. Works with junior admissions deans to develop strategies for physical and virtual travel in their territories using data and Slate CRM capabilities.
Travels four to six weeks during the fall (physically and/or virtually), and additional travel in the spring and summer, to meet prospective students and high school counselors. Is fully responsible for gathering relevant recruitment materials, coordinating schedules for visiting high schools (four to five individual visits per day), meeting with college access organizations, and staffing a
Swarthmore table at college fairs (some of which are held on evenings or weekends). Makes all travel arrangements with an assigned administrative assistant and ensures good stewardship of College resources.
Visits secondary schools, community-based organizations, and community colleges in order to promote college access and recruit students.
Conducts outreach programs or workshops for communities in regional territory that may have previously untapped sources of potential students in order to increase the geographic, economic, and cultural diversity of the Swarthmore student body.
Leverages Slate CRM to develop email campaigns to communicate with prospective students in an assigned territory, or who meet designated criteria. Drafting, designing, revising, editing, and deploying emails to target audiences is essential.
Leverages Slate CRM to develop and manage registration and attendance for various online, on-campus, and off-campus programs. This includes drafting, developing, and monitoring forms, queries, and events; drafting, designing, revising, editing, and deploying event- and program-related emails to various constituents; working with the Slate team to upload and confirm prospective student lists; and auditing program and source materials to ensure data integrity policies are followed.
Advises website coordinator of necessary updates for project areas and helps to draft and confirm language for website and social media.
Updates and maintains electronic records of high school visits, college fairs, and other travel-related programs, including evaluation and assessment of such visits.
Additional Responsibilities: Physical Demands Must be able to work in an office environment, including sitting at a desk for long periods of time. Must be able to operate a computer, answer the phone, and interview prospective students. Must be able to move boxes weighing up to 50 pounds for travel or campus programs. Must be able to operate a motor vehicle in order to meet travel expectations
Working Conditions Primarily working in an office environment on a college campus. Regular engagement with the public. Travels four to six weeks during the fall, and additional travel in the spring and summer, to meet prospective students and high school counselors in a variety of settings. Regular seasonal work beyond standard business hours, including evenings and weekends, in order to complete projects or meet heavy demand.
Required Qualifications: Bachelor’s degree with six or more years of admissions, college counseling, or related experience or an equivalent combination of education and experience. Public speaking experience Strong technology background, including data management experience Familiarity with Microsoft Office, including Word, Excel, and PowerPoint, and Google Suite Valid driver’s license Ability to write clearly and persuasively. Ability to manage technical and data-driven processes in Slate CRM. Ability to travel locally, nationally, and, if required, internationally.
Preferred Qualifications: Bachelor of Arts degree, preferably strong liberal arts Graduate degree Knowledge of Slate CRM Previous work with national and international higher education vendors Fluency in written and oral communication in a second language Supervisory and staff management experience
