Germantown Academy, located in Fort Washington, Pennsylvania, is seeking qualified, experienced candidates for the position of Assistant to the Director of College Counseling and Upper School Office, beginning August, 2021. Position Purpose: Reporting to the Director of College Counseling, the Assistant supports the goals of the department by performing administrative duties for the Director and the College Counseling team. In addition, the Assistant will provide administrative assistance to the Upper School Office, under the direction of the Head of Upper School and in consultation with the Director.
Qualified applicants will meet the following criteria:
Serve as the receptionist, greeting college representatives, students and families, scheduling appointments, and assisting students.
Manage Naviance, a web-based college application management system, with great attention to detail and accuracy to ensure student and family information is up-to-date, all student supporting credentials are sent to colleges on time, and SAT and ACT test results are imported into student’s accounts.
Prepare all senior transcripts and update each interim by exporting from Veracross and importing into Naviance. Mail mid-term reports to all colleges in early February. Send final transcript to matriculating colleges and the NCAA in June (clear with Business office). Prepare transcripts for other US students and alumni on an as needed basis (summer programs, withdrawals).
Proof all recommendations written by the College Counseling team and other office publications.
Schedule college representatives’ visits and maintain updated schedules on several calendars, room reservation book and web. Schedule meeting space for large visits.
Plan yearly college counseling events in consultation with the Director for the master calendar and submit all requests through FMX.
Maintain calendars and provide administrative support for college counselors and other administrators in the Upper School office suite.
Set up and maintain college files for all sophomores, juniors and seniors.
Gather all college counseling receipts for balancing monthly bank statement for business office.
Open and distribute mail for college counseling office, coordinate mailings and update bulletin boards.
Provide a means of contact during off work hours, including the summer.
Availability for occasional evening parent meetings and events.
Purge all seniors’ permanent and college files (year end) keeping only pertinent information required for archives.
Take Upper School attendance when the Assistant to the Head of US is not available.
Assist the Assistant to the Head of Upper School with tasks in consultation with the Director.
Provide support to the school leadership team during divisional events and safety drills.
Strong knowledge of Word, Excel, and PowerPoint.
Familiarity with Naviance and Veracross or willingness and ability to learn new systems quickly.
Strong interpersonal and communication skills and a pleasant manner necessary.
Attention to detail and accuracy a must.
Exceptional proof-reading skills
Ability to prioritize.
Must be able to handle all student information in an efficient, timely and confidential manner.
