Columbia Business School is seeking an Associate Director to support the suite of Senior Vice Deans/Vice Deans in the Office of the Dean. As a key member of the Office of the Dean, the Associate Director provides proactive, responsive, and effective executive level support to senior leadership. S/he will have oversight of critical functions within the Office of the Dean and work closely with faculty, students, and administrators within the Business School and the University. This individual will also assist with the overall operational functions of the Dean's Office to ensure that goals and priorities as set by the Dean are met. The candidate will oversee the School's complex event scheduling system to reserve rooms across the Business School. S/he will handle a wide range of matters of institutional importance, many of which require discretion and confidentiality.
Works closely with the Senior Vice Deans/Vice Dean on academic and administrative correspondence; including handling highly sensitive and confidential matters utilizing independent judgment and initiative. Represents the Senior Vice Deans /Vice Dean and serves as his/her spokesperson to faculty and staff inside and outside of the school. Develops correspondence and reports, on behalf of the suite of executives as required. Ensures all communications are tracked and responded to in a timely manner.
Independently manages a complex calendaring system, on behalf of the Senior Vice Deans/Vice Deanâ€™s calendar and facilitates his/her availability for high level senior leadership meetings as well as University meetings.
Works in conjunction with the Executive Assistant to oversee, schedule and maintain a complex calendaring system across the Business School; manages the scheduling of complex meetings and events; responsible for compiling and providing information for events to Senior Leadership.
Provides complex coordination, and communicates with stakeholders on all project management requirements as they arise based on School cycles and priorities based on school needs.
Manages content for the suite of executives by developing in-depth talking points, briefing documents for external and internal meetings, knowledge articles, and meeting notes, and ensures that the executive is properly briefed on content, as needed.
Directly oversees event management requirements for the Senior Vice Deans/Vice Deans related to conferences, trips and itineraries, including arrangement of flight and accommodation bookings, as needed.
Oversees the preparation, analysis and audit of the Office of the Deanâ€™s annual budget, which includes, but not limited to, travel and expenses reports for the suite of executives, works closely with the Financial Planning Office.
Serves on committees, making independent decisions, suggesting changes and new directions based on school priorities, and speaking for the Office of the Dean where appropriate.
Provides high-level staffing to the Office of the Dean including ensuring that visitors and callers to the office are handled appropriately and professionally.
Works on other duties and projects as assigned in direct support of the Senior Vice Deans/Vice Deans, as needed.
Bachelor's degree required. Minimum 4- 6 years related experience required.
Must have demonstrated excellent organizational, interpersonal, communication, and presentation skills. Must be detail oriented. Experience planning and managing high-level meetings required. Must be proficient in MS Word, Excel, PowerPoint, and databases. Must be able to work independently and under pressure, managing multiple tasks simultaneously in a fast-paced environment. Excellent at problem-solving, taking initiative, and being very resourceful required. Must be able to manage multiple projects with changing deadlines. High level of professionalism and confidentiality needed. Tact, diplomacy and the ability to exercise discretion and judgment in matters that are sensitive and confidential is required.
5+ years related experience supporting senior-level executives strongly desired.
