The Administrative Assistant is responsible for providing support to the Upper School (US) Principal, US parents, entire faculty, and US students (grades 9-12). Specifically this role will work as part of the US team which is comprised of US Principal, Head of Years and Upper School counselors, College Counseling Department, Middle Years Program (MYP) Coordinator, Diploma (DP) Coordinator and Learning Support (LS) team as well as coordination with Middle School (MS) team. The administrative assistant understands the mission, goals, and values of the school.

Reports To: Upper School Principal
Role - Administrative tasks
Committed to a team approach where everyone is expected to play a role in creating the best possible environment for education.
Checks daily attendance of students and teachers, contacts parents of absent students in accordance with student/parent handbook plan.
Tracks Faculty absences (sick days, personal days, professional development days etc.)
Records absences on a tracking sheet.
Tracks student infractions to build out detention lists each week.
Coordinates Principal’s calendar, arranges meetings, reserves facilities and arranges catering as needed.
Helps coordinate Field Trip packs for teachers.
Assigns lockers for US students.
Orders Teachers planner books for Secondary School.
Attendance taking at Faculty meetings / whole Faculty PD training.
IB exams and Mock exams help.
Liaise with appropriate departments such as Development, Admissions, Business Office, Catering, Facilities Management as needed.
Attends Faculty and Round Table meetings.
Orders and maintains supplies.
Arranges for equipment maintenance.
Communicate clearly and effectively with all stakeholders.
Composes and types routine correspondence as needed.
Liaises with parents (re: student visitors to campus).
Skilled in the use of the Google Suite and platforms such as Microsoft Word and Excel.
Strong verbal and written skills.
A candidate who is highly attentive to details.
Strong analytical and problem solving skills.
Familiarity with school scheduling.
