Atlanta International School (AIS) is a preschool to grade 12 private, non-profit school with language immersion and International Baccalaureate (IB) Curriculum in the Buckhead area of Atlanta.

The Middle School Administrative Assistant is responsible for providing support to the Middle School (MS) Principal, MS Parents, AIS Faculty, and MS students (Grades 6 - 8). They specifically work as part of the MS team which comprises the MS Principal, Head of Years and Middle School Counselors, the Middle Years Program (MYP) Coordinator, and Learning Support (LS) Team. The Middle School Administrative Assistant is responsible for providing support to programs and Faculty as assigned. The Administrative Assistant understands the mission, goals, and objectives of the school and is expected to support educational excellence at AIS.

Reports To: Middle School Principal
Administrative tasks: Student and Family facing
Oversees daily attendance tracking for students which includes recording of absences, late arrivals, and early dismissals via SchoolPass and Blackbaud.
Takes responsibility as the first line of contact for Parents and Students in the Middle School Office on-campus and via email and telephone.
Liaises with parents with regards to student visitors to campus.
Tracks student infractions to build out detention lists each week.
Orders and distributes Middle School and Upper School student annual agendas.
Assigns lockers to Middle School students (at the start of the year and for rolling admissions).
Organizes after-school tutoring schedule.
Administrative tasks: Faculty facing
Oversees daily attendance tracking of Faculty.
Takes attendance at Faculty meetings and whole Faculty professional developments.
Helps maintain the substitute teaching bank and facilitates payment of substitute teachers for Middle and Upper School.
Onboards substitute teachers to AIS policies and procedures.
Coordinates coverage for absent teachers in both Middle and Upper School, including, but not limited to calling external substitutes when needed and making sure appropriate class work is provided for substitute teachers.
Attends Faculty meetings.
Organizes Faculty duties.
Creates and shares field trip document packs for Faculty.
Arranges for equipment maintenance when needed.
Administrative tasks: Middle School Team
Coordinates Principal’s calendar, arranges meetings, reserves facilities, and arranges catering as needed.
Runs and shares the weekly attendance and conduct records for Heads of Year.
Attends Middle School Round Table meetings.
Committed to a team approach where everyone is expected to play a role in creating the best possible environment for education.
Liaise with appropriate departments such as Development, Admissions, Business Office, Catering, Facilities Management as needed.
Operate the Middle School Office within the designated budget parameters.
Composes and types routine correspondence as needed.
Communicates clearly and effectively with all stakeholders.
Is a positive and professional liaison for the Middle School Office and AIS.
Skilled in the use of the Google Suite and platforms such as Microsoft Word and Excel.
Strong verbal and written skills.
A candidate who is highly attentive to details.
Strong analytical and problem solving skills.
Familiarity with school scheduling.
