Responsible for the day-to-day operations related to the administration of the company's LTIA (Long-Term Incentive Award)/equity award program. Own processes associated with stock option exercises and Restricted Stock Award/Unit (RSA/RSU) vesting activity. Maintain and validate equity documentation and reporting. Interact with internal and external business partners to provide guidance and ensure accuracy and appropriate workflow. Serve as a subject matter expert for vendors, employees, senior leaders (B40+), and advisors. Independently generate and analyze data on LTIA award grants, stock options activity, vesting events and validate tax treatment.
Execute transactions as a subject matter expert of equity recordkeeping system to ensure that established compliance procedures are being executed effectively. Ensure appropriate workflow and accurate administration of unique situations (retirement, termination, death, etc.). Identify issues and act as a liaison with internal and external partners to troubleshoot and resolve issues. Independently generate and analyze daily activity and validate proper tax treatment and share distribution.
Process all stock option exercises in conjunction with Brokerage Services and Corporate Secretary office. Perform scheduled and ad hoc auditing of system and procedures. Conduct SOX testing and/or assertions, as required, and develop supporting documentation for testing and compliance. Conduct analysis of LTIA implications due to retirement and/or job elimination situations. Collaborate with Employee Relations and/or HR business partners to research questions and ensure appropriate application of policies.
Serve as a subject matter expert for external vendors and internal business partners. Respond to daily LTIA inquiries or requests from vendor, employees, advisors, HR business partners, senior leaders, and executives (voicemail, e-mail, verbal interaction and/or written correspondence). Regularly interact with senior leaders regarding stock exercises. Handle confidential employee data requests with appropriate sensitivity.
Develop and manage thorough procedure and process documentation on all aspects of system and workflow. Manage key project plans and lead the coordination of the development and distribution of mass communication initiatives. Maintain and ensure accuracy of data in LTIA recordkeeping system. Investigate and determine root causes of account discrepancies and provide suggestions for improvements.
Serve as backup to the Director when needed. Maintain knowledge of equity award programs and industry best practices.
Bachelor's Degree or equivalent.
1-3 years' of relevant experience.
Excellent written and verbal communication and customer relation skills, including ability to develop clear and concise communications.
Demonstrated ability to analyze data for accuracy and thoroughness.
Ability to manage multiple tasks and deadlines efficiently and follow processes, timelines and deliverables.
Strong knowledge and proficiency in Microsoft Office (e.g. Excel, Word, and Access).
Previous HR and/or finance experience with exposure to handling and manipulating complex data.
