JOB STATUS/WORK YEAR: Full-time; Non-Exempt/Hourly; 12-month work schedule.
WORK HOURS: 7:30 a.m. to 4 p.m., Monday-Friday, and Saturdays and additional hours, as needed.
JOB SUMMARY: Under the direction of the Dean of Studies, the Registrar is responsible for the overall maintenance of student records and the efficient administration of standardized testing. The Registrar works independently in the performance of all functions necessary to maintain an efficient and organized office in a professional and confidential manner.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Maintains physical and computerized student records, including the student permanent record file as well as the digital record of student and family information data, immigration documentation and consent forms in the school?s computerized information system.
Registers new students, verifying legal name, residency, credit level status, and overseeing all operations in the transfer credit process and prior learning credit process (request for and evaluation of transcripts, posting of credit, processing and building of transfer credit)
Handles technical structures of master schedule and data input including the creation of new course codes and coordination of student course registration
Processes and transmits requests for student information, including student transcripts for colleges and universities and court requests for student information, while enforcing the Family Education Rights and Privacy Act (FERPA) in the handling of this information.
Assists counselors with the enrollment, withdrawals, and transfer of students and processing of applicable forms and records.
Calculates and maintains accuracy of student grade point averages, class rank, and prepare grade distribution, headmaster’s and honor rolls, and other GPA based awards.
Assists campus administration and counselors with the preparation of reports and student data.
Oversees the preparation for and execution of all standardized testing, including, but not limited to, the SAT, ACT, SSAT, PSAT, American Mathematics Competition, National Latin Exam and AP Examinations.
Completes and submits all State required reports related to student records.
Supervises a team including the Registrar?s Office Assistant and Registrar?s Office Clerk.

Performs other duties as assigned.
High school diploma or equivalent.
Three years administrative or related office experience, preferably in an educational setting.
Ability to communicate effectively and professionally, both verbally and in writing.
Experience as a secondary school registrar, with knowledge of and experience with a student record database system.
Extensive knowledge of and ability to perform basic administrative skills (typing, filing, data entry and use of basic office equipment)
Proficient computer skills including the use of Microsoft Excel, Access, Word, Outlook, Publisher (or similar graphics program), and the Internet.
Organizational and project management skills, including the ability to prioritize and perform tasks and projects with a high degree of accuracy, attention to detail, and discretion.
WORKING CONDITIONS/PHYSICAL REQUIREMENTS:
Ability to see and hear within normal parameters with or without correction; full leg and arm mobility (walking, ability to access overhead shelves); full range of head, neck, and back movement; and unrestricted ability to bend knees, raise arms above the head, and to move hands, fingers, and wrist.
Ability to lift, carry and/or move up to 30 pounds without difficulty.
Ability to sit for extended periods; and ability to stand and/or walk for sustained periods of time.
Due to work in close proximity to children, must pass required TB and background clearance checks.
